The Online Operations Specialist reports to the Assistant Director of Retail Services. This position is responsible for TAAP troubleshooting, Sponsored Accounts procedures and processes, and procuring regalia and Vocational Rehab special authorizations. Tasks include creating, linking, and managing TAAP supplies, and procuring VA/VOC electronics and accessories. Responsibilities include ensuring accuracy in TAAP orders, organization, training, local inventory, and return processes. This position is accountable for managing the operations of the online department and TAAP. This position will work with our TAAP partners Akademos/VitalSource for any EA Tool and Textbook errors, the Campus Store Director for reporting and VA/VOC procuring, the Assistant Director for personnel observations and delegating tasks, and the Department of Veteran & Military Affairs, Student Financial Services, and the Bursar Office.

Job Duties:
  • Purchase and Maintain all Veterans computer and accessory authorizations.
  • Maintain record building, Adobe DocuSigns, and Invoicing of Sponsored Accounts.
  • Purchase, maintain, and coordinate distribution of all regalia.
  • Maintain records and tracking for all returns on computers and regalia.
  • Monitor and resolve EA Tool and Textbook functions to ensure accuracy of tracking and reporting information.
  • Maintain TAAP dropped course and TAAP-out returns.
  • Maintain TAAP local inventory.
  • Maintain timely picking, processing, and emailing of NetSuite online orders.
  • Extract data for email reminders and TAAP business insight.
  • Maintain a clean, safe, and presentable online area always.
  • Perform functions of Assistant Director in case of absence.
  • Work collaboratively with Student Financial Services and Bursar Office to ensure Sponsored Accounts are ready prior to semester start. This will allow efficiency with recordkeeping, timely purchases, and accuracy in billing.
  • Work in partnership with Akademos/VitalSource on EA Tool tracking and Textbookx.com reporting issues and concerns.
  • Maintain consistent and precise communication with the Assistant Director of Retail Services on all online department progress, issues, and staffing performance and needs.
  • Maintain continuous communication with the Director of Retail Services on TAAP issues, needs, or requests. Provide TAAP data for reminder emails and additional program information.
  • Inform the Faculty Laision on TAAP issues related to backorders, status of missing orders, and Canvas/eBook/VitalSource issues.
  • Inform the Shipping & Receiving Manager on TAAP returns of dropped courses or course materials by professors.
  • Inform the General Merchandise Manager of backordered items ordered via our UCCS Campus Store website.

    This position has been determined to be exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
    What We Offer:
    Salary Range: Generally starting at $39,967 - $51,570 annually.
    The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

    Minimum Qualifications:
    • 2 years of experience within a campus operated retail environment.

    Preferred Requirements:
    • Experience in a higher education environment.
    • Experience with Akedemos campus tools and/or NetSuite NSPOS.
    • Experience with Equitable Access Programs.

    Physical Requirements:
    While performing the duties of this job, the employee is frequently required to sit. Employees are occasionally required to move. Tasks may involve looking at computer screens continuously for long periods of time. The employee must occasionally lift and/or move up to 20 pounds.
