The Onboarding Specialist plays a pivotal role in managing the full-cycle pre-employment onboarding process for final selected candidates at Forefront Dermatology, ensuring a seamless transition and exceptional experience for all new hires. This individual is responsible for initiating tasks to collect background information from new hires and acquired employees, overseeing all aspects of the background check process while upholding compliance and quality assurance standards. Additionally, the Onboarding Specialist operates and manages the onboarding and provisioning tasks for all new hire onboarding experiences, focusing on process-driven strategies to enhance and simplify the overall onboarding management process. With a dedication to continuous improvement, this specialist supports and executes process improvement initiatives to optimize efficiency and ensure a consistent and streamlined onboarding experience across the organization.
- Initiate and manage the tasks required to collect background information from new hires and acquired employees.
- Facilitate all aspects of the background check process, ensuring compliance with regulatory standards and maintaining quality assurance.
- Operate and oversee the onboarding and provisioning tasks for all new hire onboarding experiences.
- Collaborate with cross-functional teams to enhance and simplify the overall onboarding management process, driving process improvement strategies.
- Manage the receipt of all required documents from potential new hires, including completion of application forms, educational documents, references, resumes, disclosure and consent forms, certificates of disposition, licenses, certifications, and details related to background checks.
- Process, track, and oversee the employee referral program, working closely with the workforce, referrals, and HR leadership.
- Maintain and update start date schedules in collaboration with Talent Acquisition Consultants to ensure readiness for new hires' arrival.
- Communicate expectations with new hires and hiring managers, providing timely updates throughout the onboarding process.
- Proactively communicate with Background Vendor Investigators to inquire about pending background check reports and address any delays.
- Ensure compliance with standard onboarding practices and procedures, maintaining accuracy and integrity of documentation.
- Mange the E-Verify process in line with federal regulations, ensuring the accurate completion of Form I-9 for all new hires.
- Verify the legitimacy of documentation submitted by candidates to confirm eligibility for employment.
- Perform other duties as assigned, contributing to the overall efficiency and success of the Talent Acquisition department.
- Associate’s degree in Human Resources, Business Administration, or related field preferred.
- Minimum of 1-3 years of experience in onboarding, HR administration, or related field preferred.
- Prior experience with HRIS and ATS systems. Experience with iCIMS Talent Cloud preferred.
- Proficiency with background screening platform HireRight preferred.
- Must possess a strong understanding of pre-employment onboarding processes and compliance requirements.
- Knowledge of federal employment laws, procedures, and regulatory compliance guidelines.
- Ability to work independently and manage multiple projects with minimal supervision.
- Excellent organization skills and attention to detail, with the ability to manage multiple tasks and deadlines simultaneously.
- Must have excellent communication skills, with a focus on providing superior customer service.
- Proficiency with Microsoft Word, Excel and PowerPoint is required. Must be able to learn new software quickly.
- Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team.
- Ability to use time productively and contribute to high levels of company operational efficiency and effectiveness.
