Community Manager
Los Angeles based property management company, Alpa Management, Inc, is seeking a vibrant and motivated person to lead their newest community, The Hamlin, as Community Manager (aka “On-site Property Manager”). This is a brand new community will require a significant amount of leasing in the near term. The role will ultimately require the manager to manage additional properties in immediate vicinity. To be successful this person must be self motivated, effective communicator, well organized and can manage multiple tasks.
SUMMARY OF FUNCTIONS: Responsible and accountable to plan, implement and monitor operations, provide quality service, marketing, and resident relations of the community,
MAJOR DUTIES AND RESPONSIBILITIES: Duties include, but are not limited to:
·Leasing as this is a Lease UP
Maintain open and regular communication with the residents, vendors, and corporate office
· Initiate and execute day-to-day operational procedures which include:
o Safety, risk management, efficiency, and company quality standards
o Filing - hard copy and computer files - keeping them current and in the approved format
o Initiate and distribute timely reports including: financial, marketing, and maintenance information
o Maintain compliance with the company’s personnel policies and procedures
o Monitor property business plan with capital and operating budgets
o Communicate clearly and on a timely basis with project accounting personnel using and/or providing the appropriate documentation
o Manage and coordinate day-to-day financial transactions including: accounts receivable, collection of all rents, miscellaneous income, and charges, accurate and up-to-date maintenance of required financial records and files
· Manage resident relations
PROPERTY MAINTENANCE:
· Conduct property inspections on a daily basis and prepare inspection reports weekly.
· Coordinate, supervise, and report building and site repairs as needed.
· Schedule, coordinate, and supervise regularly scheduled maintenance tasks as required and oversee any follow up items that were recommended.
· If managing more than one property, continuously visit the properties on a regular basis to check property appearance, visit tenants, and meet with vendors.
· Monitor vacancies to ensure cleanliness, vacancy boards, brochures, and air conditioning level.
· Keep up preventative maintenance program.
· Initiate, contract, and administer all necessary services to maintain and enhance the value, the operating efficiency, and the physical appearance of the property, including:
· Contract services, including janitorial, window cleaning, landscape maintenance, security, parking, metal refinishing, etc.
· Quality and performance standards for engineering and contractors ensuring compliance with agreements
· Maintaining current certificates of insurance for all contractors
· Assure that the common areas are always kept clean and presentable
Resident /LEASE ADMINISTRATION:
· Maintain ongoing resident contact/relations program to constantly assess needs and help assure problems are being addressed promptly and to the satisfaction of the tenants and owners
· Respond positively and promptly to tenant requests and lease inquiries
· Resolve problems to the mutual benefit of the tenant and the owner
· Implement and monitor tenant needs assessments
· Administer all leases assuring compliance with provisions/ agreements
· Determine and execute on a timely basis reconciliations and rent collections
· Maintain current certificates of insurance for all tenants
· Market all vacant units
· Lease all vacant units
FINANCIAL ADMINISTRATION:
· Property Manager needs to demonstrate a working knowledge of budget preparation, financial and variance reporting, and the understanding of the calculations for escalations and reconciliations.
· Keep the client aware of where the property stands on a financial basis and recommend changes throughout the year that will help them meet their financial goals.
