JOB ACCOUNTABILITIES
This position provides administrative and production support to Girl Scouts of West Central Florida and is required to work from the GSWCF office, full-time in-person. Hybrid/remote work is not offered for this role. The Office Support Specialist oversees all production services for the Girl Scout Leadership Center including in-house and third-party printing and mailing services. In addition, this position helps support various office functions.
ESSENTIAL FUNCTIONS:
- Efficiently and professionally processes requests for print services, including in-house multi-size print functions, paper trimming, laminating services, etc. Ensures that requests are appropriate and made through established channels. Diligently notifies users when items are ready for pick-up.
- Monitors outsourced print/production to maintain deadlines.
- Creates and maintains a production printer calendar of scheduled users and printer availability.
- Prepares incoming and outgoing office mail and oversees the bulk mail process.
- Secures the appropriate resources for council print production and mailing services, and ensures stock (e.g., postage, paper, toner, etc.) is sufficient for off-hours users.
- Manages office/building supplies including ordering, warehousing, and maintaining inventory.
- Manages relationships with third-party printers and vendors to determine the best pricing options on supplies and outsourced printed and marketing services.
- Establishes in-house printing costs for annual budgeting purposes.
- Facilitates the allocation of print, mail, and supply expenses to the appropriate departments.
- Manages relationships with production and mailing equipment service providers to maintain equipment and reduce down-time.
- Trains and supports authorized departmental users on printing/mailing equipment.
- Updates building signage and maintains the building’s digital display.
- Monitors building maintenance/cleanliness and coordinates required services and supplies.
- Prepares meeting rooms for use by setting the tables and chairs in the requested layout, and printing relevant documents.
- Maintains a clean, clutter-free and organized production area with a focus on employee safety and usability.
- Other duties as assigned.
DESIRED QUALIFICATIONS
- High school diploma
- +3 years of directly-related work experience desired, but not required.
- Ability to maintain strong attention to quality control.
- Proficiency in learning various print and mailing software platforms.
- Creative problem-solving skills.
- Ability to manage multiple projects with competing and/or changing timelines.
- Ability to build professional relationships with council staff and volunteers.
- Ability to contribute positively to an environment that fosters and celebrates achievement, belonging, and commitment through words, actions, and attitude.
- Ability to contribute to a thriving and positive work environment by demonstrating the tenants of the Girl Scout Promise and Law and the council’s Strategic Plan.
- Ability to meet individual and council strategic goals.
