REPORTING TO: Business Manager

CLASSIFICATION: Non-exempt, Hourly, Full-time

LOCATION: Grants Pass

COMPENSATION: $18 -24 per hour, DOE

POSITION SUMMARY / RESPONSIBILITIES:

We are seeking a dynamic Office Support Specialist who will enhance the efficiency of our staff by providing direct and comprehensive support in every facet of our organization. The Office Support Specialist will play an essential role in maintaining cohesive and efficient day-to-day office operations. We aim to hire an energetic, self-starter, who is eager to bring their tenacious can-do attitude to our team!


Executive Support

  • Serve as the CEO’s liaison by being a positive gateway to employees, clients, and executives while facilitating access, support, and approachability.
  • Monitor and manage the CEO’s calendar to ensure commitments, meetings, and tasks are fulfilled.
  • Assist with leveraging the CEO’s time by taking meeting notes, assisting with administrative tasks, and occasionally driving the CEO to meetings and project sites.

Technology

  • Manage office technology in coordination with People Success - work closely with I.T. company, employees, and outside software vendors to:
    • Manage inventory and distribution of phones, laptops, hotspots, and other electronic devices.
    • Oversee maintenance and purchasing of technology and equipment.
    • Manage cell phone and hotspot provider accounts.
    • Track and maintain software licensure, contacts, and utilization.


General Office

  • Perform front desk duties, including answering phone calls, routing faxes, and welcoming office visitors.
  • Receive, distribute, and drop off mail and packages.
  • Prepare conference rooms for meetings and maintain Joan devices.
  • Support proposal and bid efforts with editing, printing, and binding.
  • Maintain adequate office supply inventory.
  • Purchase office snacks and drinks.
  • Maintain general cleanliness, organization, and upkeep of office space.
  • Maintain and water office plants.
  • Assist with company gatherings and external community events.
  • Perform additional administrative tasks as requested.

EXPERIENCE/SKILLS/ABILITIES REQUIRED:

  • Previous office and administrative experience is preferred.
  • Previous experience in tracking software utilization and associated cost is preferred.
  • Desire and demonstrated ability to learn and master new software and technology is preferred.
  • Self-starter attitude, proactive at initiating and bringing projects and tasks to successful completion.
  • Self-confident, with a high level of self-awareness.
  • Adaptable to changing priorities, capable of working under pressure, and proficient in meeting deadlines.

PHYSICAL REQUIREMENTS:

  • Ability to lift and move up to 40 lbs. occasionally.
  • Sitting (or driving) in a normal seated position for extended periods of time.
  • Reaching by extending hand(s) or arm(s) in any direction.
  • Ability to type a minimum of 50 words per minute.
  • Excellent verbal and written communication, with a keen awareness of diverse audiences.
  • Ability to see and hear within normal parameters.

QUALIFICATIONS:

  • Highschool diploma or equivalent.
  • Valid driver’s license and reasonable driving record.
  • High working level of experience with MS Office programs including Outlook, Excel, Word is required.
