Pay: $45,000 to 50,0000 per year
Position Summary of the Office Specialist:
AWPM is currently seeking an Office Specialist who will manage all office administrative duties, ensure the smooth running of the office, and provide quality service to all associates, clients and guests. The Office Specialist is expected to demonstrate commitment and perform all duties in accordance with the Allworld’s office routines and procedures, keeping in mind the overall business mission, vision, and objectives.
Responsibilities include, but are not limited to the following:
- Serves as the first point of contact for clients and community partners. This position oversees the front office by answering incoming calls, receiving/distributing mail, replying to general correspondence, and addressing inquiries.
- Procurement and proper management of office supplies and assets. Track inventory of office supplies and place orders when necessary.
- Assist with the recruitment and selection processes.
- Overseeing onboard orientation and training schedule for new employees. Assist with the offboard process for exiting employees.
- Assist with ensuring HR policies, procedures and practices are standardized at AWPM.
- Responsible for record management related to electronic and paper filing systems.
- Coordinate meetings and functions for the A-team. Manage travel, hotel & airport transfers for the A-Team.
- Responsible for office administration payments within approved expense limits and that are made to ensure business continuity (office courier service, office telephone, office cleaning services, office utility bills, office catering & lunch management services).
- Coordinate events hosted at the AWPM headquarters.
- Monitor and oversee the general cleanliness of the headquarters, including various conference rooms and reception areas throughout the day. Maintain and organize the employee break areas and order supplies when necessary.
Qualifications:
Associate degree in human resources or business-related field required, Bachelor’s degree in Business Administration, or a closely related field highly preferred. Must have a minimum of three (3) years of proven work experience as an office administrator; or any combination of experience and training which enables one to perform the essential job functions. Thorough knowledge of customer service, office management, and basic bookkeeping procedures. This position requires proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint. Proficient with HRIS software, ADP knowledge is a plus.

- Ability to work in a fast-paced environment and prioritize and complete competing demands.
TYPICAL PHYSICAL DEMANDS: Must be able to communicate clearly both verbally and in writing. Requires the ability to operate general office equipment such as a computer, telephone, copier, and calculator. Requires the ability to lift and carry objects such as boxes of paper weighing up to 15 lbs.
TYPICAL WORKING CONDITIONS: Majority of the work is performed in an office environment.
