This position is based in our Downtown LA office, requiring on-site availability for 5 days a week.
Job Summary
The Office and Sample Coordinator will support the Los Angeles Buying office through front desk management and sample coordination. As the Office Coordinator, you will be the face of the company for visitors and will be responsible for ensuring everyone feels welcome and has a positive experience at the office. You will manage and maintain the ordering of all office supplies, oversee package delivery, office facility requests, and any miscellaneous tasks that arise. With sample coordination, you will be responsible for managing, tracking, and organizing all apparel samples in the LA office. You will be the point person for vendors' communication regarding the status of a sample. Additionally, this position will assist the Legal Department with planning and providing onsite event support for the Board of Directors and Leadership Team meetings as needed.
Key measures of success will be your ability to adapt, take initiative, and be resourceful, your ability to act as a culture carrier and represent Lulus in a positive and professional light, and your ability to remain calm under pressure and resolve sometimes complex and unexpected issues.
What You’ll Do
Create a welcoming and positive experience for all visitors to the LA office by greeting them, determining the purpose of their visit, and directing them to their designated meeting location or contact.
Oversee LA office supplies levels and manage orders and restocking.
Sort and distribute all pay stubs, mail, and packages.
Maintain and track mail-in sweepstakes entries.
Maintain a visual organizational chart for the LA office.
Manage, track, and organize apparel samples in the LA office.
Move vendor sample drop-offs to the correct locations daily.
Act in a manner that is consistent with Lulus’ values, policies, procedures, and brand standards.
Maintain LA office space, ensuring a safe, clean, and functional environment.
Receive, manage, and process work order requests and ensure problems are resolved quickly.
Act as liaison for employees for LA office-related requests.
Act as liaison between employees and any outside contractors needed to resolve specialized problems.
Assist with planning and providing onsite event support for quarterly Board of Directors and Leadership Team meetings as needed (including running related errands).
What You’ll Need
A minimum of 1 year of experience in administrative support or sample coordination.
Strong computer skills, proficiency with Google applications, and an ability to become familiar with other programs and software.
Strong organizational and problem-solving skills with impeccable multi-tasking abilities.
Polished and positive attitude and professional judgment.
Comfortable communicating with all levels of management.
Ability to multi-task in a fast-paced environment and to anticipate and address last-minute changes.
