The Office Manager / Executive Assistant is responsible for managing select duties for the Franchise Owners and Directors of Operations of a growing portfolio of multi-state franchise-owned restaurants
Details:
$18 per hour / 10 hours per week
Reports to office in El Cajon, California
Tuesday and Thursday 10am ? 2pm and 2 hours a week working remotely
Some driving / errand running required
Major Goals and Responsibilities:
- Be our All-Star Quarterback when it comes to contact, coordination, and negotiation with vendors and HR duties associated with employees
- Customer complaint resolution
- Auditing paperwork, invoices, and statements
- Bill pay for certain invoices
- Postage for all packages and documents
- Local marketing coordination
- Catering order invoicing and coordination
- Submission of sales and payroll reports
- Managing calendars and arranging travel for main shareholders
- Assist with recruiting by scheduling interviews and posting job ads
- Run ad hoc errands
- Organize office spaces and keep them in showroom condition (occasionally)
- Compiling and sorting mail for ownership (occasionally)
- Create and document processes for all repeatable duties
Essential Activities:
Because this is a new role, it will be a learning process. You will have to work with us to develop the role, identify areas of opportunity, document and create processes and procedures, and find value for the company above and beyond the administrative duties mentioned above.
Examples of tasks that this role will inherit:
- Calling support on behalf of the stores of 3rd Party Delivery companies, Point of Sale companies, Credit Cards processors, Cable and internet, Waste Management, etc?
- Posting a job ad on Indeed or other platforms for a position we are hiring for and following up with prospective candidates
- Place orders marketing materials, deposit slips, etc. from vendor?s websites
- Completing applications for permits and new vendors and cities when we buy or build new stores
- Complete agendas on Microsoft Word or Excel for weekly conference calls
- Call disgruntled customers and follow our process for resolving a situation and mail them a ?free? coupon
