Position Summary: The Office Manager performs a variety of routine and complex clerical, administrative, and secretarial work in support of the Sheriff’s Department. This position requires exercise of discretion, independent judgment, and independent thought.
Essential Job Functions:
- Use computer and software applications to accurately type and edit basic correspondence, enter, and retrieve data, search databases, conduct research, create documents, and send emails.
- Process various documents and ensure that all necessary forms are complete and accurate.
- Review and respond to public record requests for compliance with state statutes.
- Answer and route telephone calls, appropriately greet the caller, and take accurate messages.
- Assist the public/employees at the front counter and display excellent customer service.
- Process incoming and outgoing mail.
- Schedule appointments, maintain monthly calendar, and attend all office meetings and trainings.
- Process inmates in and out of the jail, assist the Jailer with processing jail documentation, bonds, commitments, and jail reports.
- File case reports and balance jail checkbooks/phone cards.
- Submit accident reports and correspondence insurance.
- Perform VIN inspections, civil process preparation, and return to court billings.
- Maintain handgun permits for the department and manage warrant preparation and returns.
- Bill monthly accounts and contracts and remit fees back to the County.
- Complete and submit distress warrants paperwork.
- Provide appropriate orientation and trainings of new and/or temporary staff in office policies, procedures, and processes.
- All other duties as assigned.
Preferred Talents:
- Previous bookkeeping experriecen, highly preferred.
- Knowledge of federal, state, and local laws, rules, regulations, codes, and/or statutes.
- Knowledge of practices and procedures specific to the Sheriff’s Department and modern office processes.
- Knowledge of relevant computer hardware and software applications.
- Effective communication skills both verbal and written.
- Effectively and efficiently provide customer service to the public.
- Establish and maintain effective working relationships.
Qualifications:
- High school diploma or equivalent.
- At least one (1) year of office experience.
- Valid driver’s license.
