JOB SUMMARY
This position supervises the performance of assigned office staff and performs traditional administrative duties including file management, preparing correspondence, and attending to other administrative and clerical duties in support of the Program Manager, Program Supervisor, and professional staff. The range of authority and decision making for this position is limited to and consistent with MHS policy for administrative staff.
RESPONSIBILITIES

• Check billing logs for completion/errors. Collaborate with regional Billing Coordinator to ensure program units are entered into electronic health system.
• Operate a multiple line telephone and relays incoming, outgoing, and inter-office calls.
• Participates in maintenance of security procedures of the facility
• Responsible for file supervision and record maintenance, and maintains space for closed files, forms, and correspondence
• Maintain ample inventory of required office supplies and purchases office materials as needed.
• Take minutes during staff meetings. When requested, distributes agenda for this meeting to all staff during meeting.
• Ensure that weekly staff meeting minutes are in appropriate journal and available to all staff.
• Attend in-services, staff meetings, special events, and ongoing staff development programs.
• Demonstrate adequate care and responsibility for equipment. Report and/or repair missing or damaged equipment and supplies and ensure facilities upkeep and safety by maintaining neat and clean work areas, and by securing work area at close of business day.
• Other relevant duties as assigned.
• Comply with all MHS and program rules, policies and procedures including HIPAA standards.
QUALIFICATIONS
• High school diploma/GED equivalent with five years administrative experience.
• Bilingual - Spanish speaking, reading, and writing required.
• Knowledge of filing/record keeping and commonly accepted office practices in a professional setting.
• Proficient user of Microsoft Office Suite and EHR software.
• Ability to problem solve and react appropriately to emergency situations.
• Ability to work independently and effectively collaborate with a team.
PAY RANGE: $26 - $28 / HOURLY
