Salary: $50,000 - $55,000 annually, commensurate with experience and quarterly bonus potential.

About the Role
We are currently seeking an enthusiastic and dedicated Office Manager to join our team in Orland Park. The Office Manager is a cornerstone position in our clinic, ensuring that our office operates smoothly and efficiently. This role is integral to creating a warm and inviting atmosphere for our patients and staff and facilitating the excellent service our clinic is known for. Successful candidates will lead all non-clinical aspects of the practice, including but not limited to managing medical technicians, patient care and satisfaction, health and safety compliance, and overall performance of all non-clinical aspects.
Responsibilities:
- Coordinate daily administrative operations, such as scheduling appointments, maintaining patient records, ensuring patient satisfaction, and managing opening and closing procedures.
- Ensure office supplies are adequately stocked and logistics are well-coordinated, demonstrating an ability to handle multiple duties seamlessly.
- Supervise office staff, including receptionists, medical technicians, and other administrative staff, to ensure smooth operation.
- Provide high-level administrative assistance to providers, reflecting a detailed and organized approach.
- Collaborate with providers and other healthcare professionals to promote efficient clinic operations and manage the flow in a fast-paced environment.
- Ensure the office complies with all healthcare laws and regulations.
- Handle and respond to non-clinical patient inquiries and questions, demonstrating a genuine concern for each patient's care and progress.
- Act as the "Concierge" of the clinic, providing exceptional customer service and building strong relationships with patients.
- Strive to foster and contribute positively to a patient-first, team-based culture.
- Be a point of contact for insurance coverage inquiries.
- Display a willingness to learn and be receptive to coaching.
- Demonstrate a proactive approach to problem-solving, thriving under pressure, and maintaining a high standard of service.
- Show an energetic and outgoing personality, coupled with a strong desire to help people and a passion for health and wellness.
Qualifications:
- High school diploma or GED.
- Bi-lingual (Spanish) preferred.
- Proven experience as an Office Administrator or similar administrative role for at least 1 year. Experience in a healthcare or retail setting is preferred.
- General knowledge of the principles and practices of personnel administration.
- Proficient in MS Office, with working knowledge of healthcare management systems, Microsoft Suite, and Google Suite products.
- Excellent organizational and multitasking abilities and effective problem-solving skills.
- A self-motivated team player with leadership and management skills who is approachable and professional, able to establish and maintain effective relationships with peers, employees, and patients alike.
- Ability to work under pressure while maintaining a professional demeanor and demonstrating sound judgment.
- Excellent communication and interpersonal skills.
- Ability to present information and make recommendations effectively in oral and written form.
- Bachelor's degree in business administration, healthcare management, or a related field is preferred.
- Prior experience in sales, hospitality, or events is a BIG plus!
