General Description
The Office Manager is responsible for the administrative support of church staff. This includes leadership and coordination of the volunteer office support team, document creation and distribution, incoming and outgoing mail handling, and overall management of the operation of the church office. Normal office hours are 7:30am-3:00pm Monday thru Thursday. The position is part-time at 28 hours per week.
Essential Job Functions
1. Create documents for Church/Office Staff and Members as needed, including creating, preparing, distributing letters, informational flyers, postcards, prayer requests, other documents as directed.
2. Gather all photos and videos taken by Church Staff throughout the month to coordinate into the Newsletter.
3. Create and distribute hardcopy and digital copy of newsletter in Canva and Mailchimp as directed and email monthly.
4. Create a weekly hardcopy and digital QR code of the Prayer List and add all upcoming events.
5. Coordinate the Church Calendar in Planning Center for upcoming events for members and non-members.
6. Schedule and coordinate use of Fellowship Hall.
7. Make weekly/monthly changes to calendars displayed in the Church Office, Conference Room, Financial Coordinator’s Office and the Pastor’s Office.
8. Function as the central point of contact for all significant congregational life events (births, deaths illnesses, etc.) and promptly communicate such events to Pastor.
9. Function as “go-to” person for all matters pertaining to the smooth operation of the church office (reordering office/maintenance supplies, copy machine use and repair, coordination of office resource scheduling, ensuring the office is clean and orderly, etc.).
10. Answer incoming calls on the office operator line and direct calls as necessary. Answer the front door and direct visitors as necessary.
11. Manage and respond to operator voicemails as needed to ensure callers receive a timely response and/or issues are addressed in a timely manner.
12. Input New Employee’s into Ministry Safe and Planning Center. Submit background and send out trainings, as needed, then create New Employee Charts.
13. Distribute mail daily.
14. Attend monthly staff meetings as directed by Senior Pastor.
15. Maintain regular office hours.
16. Perform other duties as assigned or initiated.
Education/Experience
This position requires a minimum of 3+ years of experience as an administrative assistant in a church or business environment, or equivalent. Possession of an AA/BA Degree in Business or a related field is a plus. The successful individual will also possess a working knowledge of Microsoft Office, Excel, Canva, Subsplash, Mailchimp, Adobe and other related applications.
