We are seeking an Office Management Assistant (OMA) to support two managers and staff at our Sandia National Laboratories Livermore California Site. You will provide administrative support and help organize and run the day-to day operations of a W87-0 systems engineering department that manages the W87-0 Warhead. Our Office Management Assistants are the face of their department and maintain a professional demeanor in a dynamic environment. You will work independently and as part of a team, exercising initiative, managing multiple issues simultaneously, while handling constantly changing priorities.
On any given day, you may be called on to:
- Provide administrative support to managers and staff that work primarily onsite.
- Maintain manager calendars, arrange meetings, including teleconferencing and videoconferencing.
- Generate manager travel arrangements and prepare travel expense reports.
- Respond to communications such as phone calls and emails and requests for help.
- Manage a and initiate purchase requisitions.
- Assist with property and training coordination.
- Provide Classified Account Specialist (CAS) duties (training provided).
- Coordinate office moves with facilities and corporate computing support organizations.
- Serve as the information source on organizational policies and procedures.
- Arrange tours and coordinate accommodations for visitors from federal agencies and visiting leadership internal and external to Sandia.
- Coordinate hiring candidate interviews and assist with new hire onboarding.
- Plan and execute team functions and celebrations.
- Maintain a stockpile of office supplies for the team.
- Partner with other administrative support staff in the Division, lab-wide

Minimum Qualifications (Required)
- High school diploma plus three or more years of directly related experience or equivalent combination of education and experience.
- Proficient with Microsoft applications (Outlook, Word, Excel, PowerPoint) and web-based applications.
- Ability to obtain and maintain a DOE granted security clearance.
- Ability to work onsite a minimum of 3 days a week at our Livermore, CA location.
Preferred Qualifications (Desired)
- Experience providing administrative support (this includes supporting a team of staff and or managers).
- Excellent interpersonal, communication, and organization skills.
- Active DOE Q clearance (or DOD equivalent).
- Previous experience handling sensitive information and hardware.
- Previous experience working in a fast paced, dynamic environment.
