Coordinates a variety of duties and procedures for the planning, implementation, execution, and evaluation of Kaufman Interfaith Institute programming in which discretion and/or judgment concerning the procedures to use or policies to follow is required. Operates with a high-level of autonomy, organizing and administering initiatives and activities on behalf of the Institute and its director.
Essential Functions:
- Work with the staff of the Kaufman Interfaith Institute to further the goals and priorities of the Institute and the Division of Inclusion and Equity.
Communications
- Coordination of communication for the Institute within and outside the university.
- Writes and issues correspondence, reports and materials for the Kaufman Interfaith Institute staff which demonstrates ability to communicate understanding of interfaith issues.
- Develops, prepares, and/or composes responses to inquiries, memos, and correspondence requiring research, judgment and discretion; routinely writes edits and submits materials for internal/external communications.
- Generates reports, memorandums, correspondence, presentation materials spreadsheets and graphics, and other similar materials.
- Develops and maintains KII email account, social media and website, and newsletter distribution. Coordinates, publicizes and/or provides support for special events and functions.
Grants
- Assist with writing grant incoming proposals and annual reports, and contracts with external clients for both long-term and short-term projects.
- Oversee grant funding and budgeting, including tracking expenses and ensuring compliance with grant stipulations.
- Provides administrative support regarding all aspects of planning and implementation of the grant reporting for KII grants.
- Tracks multiple grants and reporting requirements; initiatives and drafts grant narrative reports.
Budget
- With the director, develops and monitors departmental budgets, reviews budget reports and reconciles the reports with the department/offices records on a monthly basis.
- Responsible for administrative processes for the institute and its interaction with university structures and outside vendors.
- Prepares independent contracts for work with vendors for both long-term and short-term projects.
Scheduling
- Performs and coordinates scheduling tasks and support services associated with preparing and arranging for major meetings, conferences, exhibits, travel, or other related duties for both internal and external contacts.
- Performs scheduling and managing of calendars, scheduling meetings and preparing correspondence, both internal and external.
Organization
- Maintain office filing systems, both physical and digital.
- Develop appropriate archival processes to maintain history and records of programing with procedures to inform the public of the Institute activity.
- Performs other duties as required/assigned by the director.
Required Qualifications:
- High school graduate or equivalent.
- Minimum of three years of relevant work experience.
- Experience with various computer software applications such as Microsoft Office and/or equivalent.
- Demonstrated experience to successfully operate office equipment.
- Data entry experience.
- Typing and spelling competency with grammar and proofreading skills.
- Possess strong verbal and written communication skills.
- Demonstrated experience to successfully provide quality customer service
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Ability to work under pressure and meet deadlines.
- Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
- Ability to successfully maintain positive intercultural and interpersonal relationships.
Preferred Qualifications:
- Master’s degree (or working toward master’s degree) in relevant field.
- Demonstrated experience in higher education.
- Experience in social justice education and/or community organizing.
Supervision Received:
Receives general instruction from a designated supervisor but is generally expected to work independently.
Supervision Exercised:
Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.

Job Type: Part Time, 25 hours per week - Hours for the department are Monday through Friday 8am-5pm and a schedule will be determined at the time of hire.
