Coordinates and performs all front office operations including patient reception, scheduling, medical record maintenance, database management and billing duties under the direct supervision of the Manager of Human Resources and Employee Health. Performs duties and responds to the varying priorities of the manager and EHM nurses, in order to assure efficient operation of the department.

- Facilitates invoice processing for supplies, services, workers' compensation, both external and internal, verifying accuracy and appropriateness. Maintains tickler files for easy follow up to assure expedient payment. Uses OnBase when appropriate and keeps accurate records of all charges for Finance.
- Answers telephone with the appropriate greeting. Prompt retrieval and processing of messages from voice mail. Assures that all information/messages are processed timely and accurately.
- Responsible for the organization and maintenance of record filing systems. Prepares new employee folders with labels, employee/patient information and required documents.
- Organizes and maintains appropriate billing for services.
- Coordinates scheduling of employee /patient appointments.
- Assembles, prepares, and maintains patient records and files in accordance with regulatory requirements. Coordinates entry of Flu and Respiratory Fit Testing documentation to team members medical record.
- Orders supplies and equipment as necessary and as requested to support the operations of the department. Anticipates supply needs for large projects including Flu Campaign, Respiratory Fit Testing and Quadrennial Iowa Health Assessments to ensure timely delivery of supplies.
- Is a Super User for the Agility/STIX Employee Health Medical Record System. Maintains database, produces reports, and provides training to Employee Health staff on Agility/STIX system. Coordinates upgrades with UPH – IT department.
- Promptly and courteously greets/addresses each person requesting assistance, whether in person, or on the phone.
- Obtains/pulls records in response to requests within established timeframes
- Organizes/processes and/or distributes daily mail, faxes and reports, both incoming and outgoing in a timely manner
- Assists with scheduling various meetings and provides support for Employee Health clinics (e.g. flu clinic).
- Maintains neat and orderly work area, including the main waiting room area, and contributes to the general appearance and maintenance of the HR/Employee Health department.
- Generates reports from Agility for worker’s compensation reporting.
- Provides general assistance in the preparation of annual OSHA reports.
- Assists Work Comp Case Manager in the preparation of reports for Safety Committee and Employee Safety Sub-Committee.

Education:
High School graduate or GED equivalent
Experience:
Previous clerical/secretarial experience.
Two years clerical/secretarial experience in a health care setting.
Office management experience.
License(s)/Certification(s):
Valid driver’s license when driving any vehicle for work-related reasons.
Knowledge/Skills/Abilities:
Must have excellent interpersonal skills to deal with a wide variety of individuals including patients, visitors, health care staff and physicians, and the general public.
- Must possess good verbal, non-verbal and written communication skills.
- Must be able to work independently.
- Competent computer skills, including Microsoft Office programs (Word, Excel, PowerPoint, Outlook), and data entry.
- Technical aptitude; ability to learn new computers systems and software quickly
