Office Coordinator
We are seeking a highly organized and detail-oriented Office Coordinator to join our team. The Office Coordinator supports the day-to-day business and facility operations. Responsible for various administrative tasks and providing support to ensure the smooth operation of our office.
Responsibilities
- Point of contact for employee facility questions, issues, concerns. Oversees office maintenance, including liaising with building management and service providers.
- Maintains cleanliness and organization in common spaces such as lobby, kitchen, conference and copy rooms.
- Point of contact for catering event inquiries, bookings, and logistics.
- Events Committee Member: manages event logistics, including catering, venue setup and take down.
- Maintains inventory of catering supplies and equipment, replenishing items as needed and coordinating maintenance and repairs.
- Coordinates event schedules and timelines, ensuring all details are accurately documented and communicated to the appropriate team members.
- Purchases, maintains, and dispenses office and breakroom supplies.
- Restocks and maintains the kitchen and conference rooms daily with coffee, cleaning supplies and paper products.
- Provides support for the Executive Team including coordinating travel arrangements, meetings, and events.
- Provides administrative support to the Executive Team as needed, including preparing presentation materials, performing general office duties such as typing, filing, copying, and running occasional errands.
- Coordinates employee benefits between employees and vendors.
- Assists with the onboarding process for new employees, including preparing workspaces and providing necessary resources.
- Ensures labor law and HR postings are kept current throughout the facility.
- Requests Certificates of Insurance from insurance company for customers.
- Replaces toner cartridges in office copiers; assists with paper jams.
- Assists with special projects and other duties as assigned by management.
- Update phone and email extension forms.
Qualifications
- Proven experience in an administrative role, preferably as an Office Coordinator or similar position.
- Excellent communication and interpersonal skills, with the ability to interact professionally with employees, clients, and vendors.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to work independently with minimal supervision and as part of a team.
- Proactive attitude and willingness to take on new challenges and responsibilities.
- High school diploma or equivalent; additional qualifications in Office Administration or related field are a plus.

This is a full-time, on-site, Monday through Friday, day shift position.
