Job Title: Office Coordinator, Medical Practice Network
Job Summary:
Assists the leadership team in the planning, organizing, staffing, and management of the administrative and front-end operations of the Medical Practice Network (MPN). Works with leadership to develop workflows and procedures to enhance office flow and efficiency. Serves as a resource to MPN administrative support staff. Trains and assists staff in understanding and implementing organizational policies and procedures. Assists in maintaining quality and performance indicators including but not limited to The Joint Commission, NYS DOH, NCQA Patient Centered Medical Home and Patient Centered Specialty Practice programs. Actively participates in the daily operation of the offices, including billing, answering phones, etc. as needed. Promotes a patient friendly environment utilizing exemplary customer service skills.
Key Responsibilities:
Activities include but are not limited to the following:
- Provides recommendations to MPN leadership regarding operational policies and processes.
- Responsible for ensuring that the front operation meets department goals and participates in department’s quality program.
- Assists front office and clerical staff with training and implementation of organizational and departmental policies and procedures.
- Facilitates and monitors practice-wide initiatives in the offices.
- Participates in the recruiting, hiring and training and development of administrative staff.
- Promotes a patient-centered culture among staff members.
- Professionally and efficiently handles incoming requests from patients and ensures that issues are resolved both promptly and thoroughly. Serves as a resource to answer more complex questions from patients and facilitates resolution of issues/questions.
- Assist with patient satisfaction activities: reviews patient satisfaction data and comments monthly, recommends and implements activities to improve the patient/family experience at practice, address any complaints or concerns in a timely manner
- Fosters teamwork between administrative/front office staff and clinical staff. Promote an excellent rapport with personnel in all operational departments of the organization and among MPN practice teams.
- Monitors provider schedules and makes recommendations regarding optimal process and utilization of patient appointments.
- Prepares reports requested by the MPN leadership accurately and in a timely manner.
- Responsible for ensuring all office and IT equipment and facility are fully functioning and that any needed repairs are reported and corrected
- Performs other duties as assigned or as required to meet the needs of the practice for high quality patient care
Physical Requirements:
Minimum physical effort is required; intermittent sitting and standing with limited freedom of movement; occasional lifting (20lbs. or less), bending, stooping, pushing and pulling. Good visual acuity, hearing and musculoskeletal functions.
Education:
- High School Diploma or equivalent.
Experience:
- Minimum two (2) years of previous medical office experience required.
- Previous management or leadership experience preferred.
