Compassion Counseling mission is to provide counseling and education that inspires hope, builds resilience, and promotes mental health and well-being. Compassion Counseling provides psychotherapy and educational services to children, adults, and seniors at an affordable rate. We are seeking a highly organized and detail-oriented individual to fill the role of Office Coordinator. This position is pivotal in maintaining efficient office operations and providing essential support to our team. The ideal candidate will possess strong communication skills, be adept at multitasking, and demonstrate a high level of professionalism and confidentiality.
Responsibilities:
1. Handling confidential and sensitive information with discretion and integrity.
2. Maintaining and updating databases, ensuring accuracy and completeness of records.
3. Managing incoming phone calls, taking messages, and directing inquiries to the appropriate person.
4. Processing client payments in a timely manner and maintaining payment records.
5. Addressing general inquiries from clients and providing information about our services.
6. Assisting clients with specific service-related inquiries and providing appropriate support.
7. Preparing and organizing client paperwork, ensuring all documents are accurate and up to date.
8. Assisting with basic accounting duties, such as invoicing and expense tracking.
9. Engaging with social media platforms to promote our services and interact with clients.
10. Assisting with other administrative tasks and projects as assigned.
Qualifications:
1. High school diploma or equivalent.
2. Proven experience in an administrative role, preferably in a fast-paced environment.
3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with database management systems.
4. Strong organizational and time management skills, with the ability to prioritize tasks effectively.
5. Excellent verbal and written communication skills, including professional phone etiquette.
6. Ability to handle confidential information with discretion and maintain a high level of confidentiality.
7. Detail-oriented with a high degree of accuracy in data entry and record-keeping.
8. Basic understanding of accounting principles and experience with financial transactions is desirable.
9. Familiarity with social media platforms and basic marketing concepts is a plus.
10. Ability to work independently with minimal supervision, as well as collaborate effectively within a team environment.
11. Flexibility and adaptability to handle changing priorities and deadlines.
- This is a Full-time position starting at $17/hour.
