Role & Responsibilities

- CLIENT INTERATION
- Greet all clients that enter the World Relief office, ensuring that they are connected to appropriate staff in a timely manner
- Assist Employment staff and Resettlement staff in overcoming client concerns or barriers to self-sufficiency that require simple and timely solutions.
- Secure appointments for staff members for all non-emergency related meetings.
- Monitor behavior and attitudes of clients in waiting areas to keep a calm and secure environment
- OFFICE LOGISTICS AND ORGANIZATION
- Manage office resources such as office furniture, keys, and equipment
- Help develop, monitor, and evaluate office policies, procedures, and operations
- Oversee and assure distribution of incoming mail to appropriate staff
- Maintain office files and other records
- Maintain adequate quantity of general office supplies, including ordering for delivery and pickup as needed
- Monitor and arrange for destruction of office files and documents according to document retention and destruction policy and time frames
- Answer all incoming calls and allocate messages from voice mails to appropriate staff in a timely manner.
- Help create and keep up to date the office volunteer training plan.
- FACILITIES
- Help maintain office and workspace cleanliness, organization and signage to enforce a professional Environment
- Triage and manage other facility issues as may arise
- Ensure safety procedures are followed
- OTHER DUTIES
- Assist in orientation of new employees to office policies and processes (business cards, name badges, desk setup)
- Assist Site Director/Finance and Operations Director with projects as assigned
Knowledge, Skills, & Abilities
- Leadership and cross-cultural experience desired.
- Fluent in English with good oral and written skills; preferably bi-lingual
- Advanced proficiency in most all MS Office programs
- Detail oriented and able to juggle multiple tasks and demands simultaneously
- Enjoy working in a fast paced, challenging, and multi-cultural environment.
- Able to work closely, in a service capacity, with the Office Director, Finance Manager and clients.
- Able to work well with others in a professional, friendly, and flexible manner.

PHYSICAL DEMANDS:
- While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations
- The ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-15 pounds.
- Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read application information.
- The employee frequently is required to sit, reach with hands and arms, talk and hear.
- General office setting. World Relief also offers hybrid and remote schedules for limited positions.
- Great lengths of time working on computer, reading from computer screen, entering information, standing at copier or fax machine, and some time on the phone or in virtual meetings may be required.
- Year-end archiving activities involve repeated lifting and bending.
