Position Title: Office Assistant
Reports To: Office Coordinator
Position Summary:
The Office Assistant is responsible for all reception duties and clerical support to the Operations Director, Office Coordinator, Management Team Members and Community Planning staff.
This position primarily supports the Operations Team in the operation of the office.
Major duties and responsibilities include:
This position serves as the office receptionist, including but not limited to:
1. Answering all incoming calls and directing calls to proper party or, when personnel are not available, taking messages or forwarding the calls to the appropriate voice mailbox.
2. Greeting visitors and assisting guest as necessary to provide information and/or directing them to appropriate personnel.
3. Serving as the voice and face of the Agency, providing friendly, courteous, helpful and professional service always.
This position serves as administrative support as needed, including but not limited to:
1. Maintaining Agency resources and makes them available upon request.
2. Providing clerical support to the staff, as directed.
3. Maintaining and updating monthly calendars for conference room usage at the office for Agency meetings and events.
4. Setting up the conference and/or training room and handles ordering, pick-up/delivery of amenities for Agency meetings and events.
5. Arranging travel reservations and itineraries for Agency staff.
6. Following procedures for mail handling and distribution including opening, date stamping, completing mail log, as well as preparing outgoing mail.
7. Maintaining office petty cash fund.
8. Under the direction of the nutrition specialist, serves as Senior Farmers’ Market Nutrition Program coordinator.
9. Oversees proper documentation for staff sign-out sheet, car reservation and mileage forms, postage record, and provides records where needed.
10. Assist with making sure company vehicles are properly maintained (ie, car wash, oil change, maintenance visits to the dealership)
11. Organizing and replenishing office/kitchen supplies as needed. Daily loading and unloading of dishwasher as needed.
12. Performing other duties, as assigned by Office Coordinator and Agency Directors, appropriate to the position in the office staffing structure.
13. Collaborate with the Kankakee office on all office services that need to be completed for the agency.
14. Miscellaneous duties, tasks and assignments as designated by the Office Manager.
Position Specifications:
· 3-5 years of prior related work experience is desirable.
· Proficiency in Microsoft Office, Excel, and Outlook needed
· Good interpersonal and time management skills.
· Ability to organize materials and information and communicate clearly verbally and in writing.
· General knowledge of office equ
· Demonstrates high level of communications skills, customer service skills, including a pleasant telephone voice.
· Preference to Spanish Speaking and persons over the age of 60
Job Type: Part-time
Pay: $15.00 - $19.00 per hour
Expected hours: 18 – 30 per week
