Job Title: Office Assistant
Summary of Duties:
The Office Assistant provides general office, document preparation and administrative support for Medical Eye Associates as a practice. This position is cross-trained on our scheduling teams as well.
Accounting, Accounts Payable, and HR background is preferred.
Essential Functions:
1. Maintain an inventory of office supplies and ordering new materials.
2. Assist in maintaining inventory of clinical supply, equipment and ordering in collaboration with our Medication, Supplies and Inventory Coordinator.
3. Assist in maintaining employee personnel files.
4. Assist in preparing for partner monthly board meetings and team meetings.
5. Assist in payroll/timekeeping review.
6. Assist in Accounts Payable invoice reconciliation processes.
7. Assist in credentialing with insurance payors.
8. Assist with the new hire process e.g. facilitation of phone screening of potential new hires, reference and employment verifications, onboarding of new employees and doctors, new hire paperwork.
9. Assist in updating and maintaining the master doctor schedules and on-call schedules.
10. Assist in updating company wide policies and procedures, handbooks, etc.
11. Maintain a company wide inventory of forms utilized e.g. consents.
12. Assist in special projects as assigned.
13. Assist in ensuring doctors meet the expectations to maintain their active status in AAO, ASCRS, etc. and other regularly bodies as determined.
14. Assist on the Reception/Central Scheduling and Scheduling Teams as needed:
a. Assist in Central Scheduling by answering telephone calls, routes calls, takes messages, provides general information to patients, and schedule patient appointments in clinic.
b. Assist in Reception/Front Desk by checking in/out patients at reception.
c. Assist in Surgery Scheduling by creating surgical charts, quality control/bag prep prior to surgery, ensure all orders are complete and necessary items are received prior to surgery, and other tasks as assigned.
15. Adheres to Practice policies, regulatory requirements (i.e. Medicare, HIPAA, etc.)

Pay: From $19.00 per hour
Expected hours: 40 per week
