Job description

JOB SUMMARY

This position serves as support to the head secretary and the building principal. This position represents the school in communicating information, problem solving, record keeping, and meeting the health needs of students, staff, and the public.

ESSENTIAL JOB FUNCTIONS include the following. Other duties may be assigned.

● Works closely with the head secretary to create a harmonious and efficiently run office and School.

● Develops effective working relationships with people with the ability to be patient with parents, students, and staff.

● Completes District accident report forms for student accidents.

● Maintains school records and files for building as per the directions of the building principal.

● Sorts and distributes mail to staff.

● Assist with technical support of progress reports.

● Supports reporting of lunch count each day.

● Prepares & logs bag lunches for ½ days of school and field trips

● Schedules buses for field trips and collaborates with bus company to support bus routes

● Creates attendance reports for the principal and others as directed.

● Support data entry and reports for behavior referrals.

● Calls parents regarding absentees, illness in school, etc.

● Enters student daily attendance each morning and afternoon.

● Process report cards, envelopes and certificates as directed.

● May assist with school website, organizing yearbook & school newsletter

● Monitor front door entrance to school

● Manage or assist in the school supply storeroom including preparation of standard supply requisitions and stocking supplies upon arrival.

● Coordinates dental clinic, vision screening and picture day

● Maintains the district's standards relative to confidentiality of information about students and school related concerns.

● Attends in-service training as stipulated by the district

● Assists with immunization compliance and reporting according to deadlines

● Assists with health history by determining individual student health needs and provides initial management of illness and injury according to first aid training and district injury and illness protocols.

● Monitors student’s health status during short-term rest or recovery

● Demonstrates proper medication administration, dispenses medication throughout the day; administers oral medications according to school policy and demonstrates an understanding of safety and care when administering medications and what to report to the school nurse. Will learn and perform blood sugar monitoring, glucagon, insulin administration, Epi pen, and other potential nursing delegated tasks.

● Follow plan of care developed by RN for students with chronic health needs to include but not limited to students with Diabetes, Seizure Disorders, Life Threatening Allergies, Cardiac Conditions.

● Assists RN with follow-up on students

● Complete accurate documentation in the electronic health record.

● Provides routine first aid services (temperatures, bandates, assist with student needs)

● Maintains the district’s standards relative to the confidentiality of information about students and school-related concerns.

● Demonstrates proficiency in taking blood pressure, pulse, temperature and respiration.

● Demonstrates the proper use of PPE.

● Field trip preparation regarding health needs in a safe and timely manner.

● Member of the school’s emergency response team.

● Performs other duties as assigned.

PREFERRED QUALIFICATIONS:

1. Post high school education or related experiences with previous office experience

2. Excellent public relations and communication skills

3. Basic knowledge of word processing and data management skills

4. Strong desire to be of assistance to students, staff and the public

5. Experience working with elementary aged children

FUNCTIONAL JOB ANALYSIS AND DESCRIPTIONS:

LANGUAGE SKILLS:

The ability to read and interpret documents such as computer operating manuals, technical assessment reports, and policy and procedure manuals. The ability to speak effectively before public groups and employee groups.

REASONING ABILITY:

Ability to apply common sense understanding to carry out detailed written or oral instructions as well as instructions in diagram or schedule form. Ability to deal with problems involving a variety of concrete variables in situations where only limited standardization exists.

OTHER SKILLS AND ABILITIES:

Must have excellent communication, computer and interpersonal skills. Must have the ability to learn and utilize new software programs as systems are upgraded. Typing is required with good grammatical spelling and punctuation. Must be able to pass a words per minute typing test during the interview process. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to effectively attend to multiple tasks at one time while maintaining a calm disposition. Ability to perform duties with awareness of all district requirements and Board of Education policies.

PHYSICAL DEMANDS :

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to walk and use fingers, office tools, and controls. The employee is required to ascend and descend flights of steps while carrying up to 20 pounds. The employee must frequently lift and/or move up to 20 pounds. The employee is occasionally required to stand and reach with hands and arms. Specific vision abilities required by this job include close vision (such as to read smaller font typed material), color vision, and depth perception.
