Job Overview:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office by providing administrative support and assisting with various tasks. This is a full-time position with competitive pay.
Responsibilities:
- Perform general administrative duties, including answering phone calls, responding to emails, and managing correspondence
- Maintain and organize office files, both physical and digital
- Assist with data entry and record keeping
- Proofread documents for accuracy and completeness
- Manage office supplies inventory and place orders as needed
- Assist with scheduling appointments and coordinating meetings
- Transcribe meeting minutes and other important documents
- Provide support to other team members as needed
Skills:
- Strong administrative skills with the ability to multitask and prioritize tasks effectively
- Proficiency in using Service Titan or similar CRM software
- Excellent file management skills, both physical and digital
- Accurate data entry skills with attention to detail
- Strong proofreading abilities to ensure error-free documents
- Familiarity with phone systems and ability to handle calls professionally
- Basic clerical skills, such as photocopying, scanning documents
- Proficiency in computerized systems and MS Office Suite (Word, Excel, PowerPoint)
- Experience with order entry systems is a plus
