The Mental Health Office Assistant plays a crucial role in the efficient operation of the office. The Office Assistant often serves as first point of contact for clients seeking services. The office candidate must be highly skilled at prioritizing, multi-tasking and organizing, while consistently demonstrating pleasant, professional and courteous behaviors with office staff, therapists, and clients. Candidate must have excellent written, and oral communication skills.
```Responsibilities```
- Proven experience in office assistance, preferably in a healthcare or mental health setting.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Proficiency in relevant software applications, including EHR systems; Microsoft Word and Excel; Quickbooks
- Serve as first point of contact for all stakeholders.
Medical Billing
- Responsible for assisting office manager in billing insurance companies
- Verify health insurance coverage and co payments
- Track payments received
- Monitor accounts for any delinquent charges
- Settle any incorrectly processed insurance
- Handle incoming calls, emails and inquires providing timely and accurate information
- Facilitate and coordinate referrals
- Pay practice bills
- Process mail.
- Post job openings
- Maintain office supplies, equipment and ordering as needed.
- Maintain office facilities and waste baskets
- Collect independent contractors billing logs
- Provide non-clinical orientation and training to newly hired clinicians
- Handle insurance credentialing for all newly hired clinicians
```Qualifications```
- High school diploma or equivalent required; associate's degree preferred
- Proven experience in an administrative role
- Strong organizational skills with the ability to multitask and prioritize tasks
- Proficient in computerized systems including Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with phone systems and office equipment
- Excellent written and verbal communication skills
- Ability to work independently with minimal supervision
