General Statement & Essential Job Functions
This position provides administrative and data collection support to the Children's Services Act (CSA) Office to include the CSA Administrator, Community Policy Management Team (CPMT), Family Assessment and Planning Team (FAPT), and Office of Program Support (OPS). Support includes preparation of member packets for CPMT and FAPT meetings, assisting with the preparation of documents for FAPT meetings, collecting and documenting information from Providers and workers to support with Utilization Management and Review activities, managing information given by OPS and maintained in the unit's financial system. Opening and closing cases and may serve as the central contact for public inquiries about CSA, FAPT, CPMT and for central clerical support for CSA Office.
Job Functions:
- Receive and direct incoming calls and inquiries to the CSA Office and coordinate the scheduling of meetings, webinars, and training by CSA.
- Receive, open, and stamp receipt of all mail.
- File client specific information in client charts and maintain client files.
- Make files and copies, order supplies and other related clerical duties.
- Scan FAPT authorizations and information to providers and caseworkers.
- Assist with minutes for the CPMT monthly meetings.
- Prepare packets for CPMT and FAPT meetings.
- Assist others with the collection of data to be entered onto spreadsheets for tracking and reporting information to CPMT, CSA Administrator, DHS management, etc.
- Collect data from all providers and case workers regarding Medicaid approvals and denials and to support the UR staff and FAPT in their decision process for prioritizing UR visits, vendor contacts and any necessary follow-up as needed and to ensure FAPT maximizes the use of Medicaid funding as appropriate.
- Assist with coordination, scheduling and communications process for the provider qualifications and contracting processes.
- Maintain Provider files for all contracts.
- Provide minutes of staff meetings
- Support the CSA Administrator in preparing for CSA audits and quality assurance reviews.
- Share responsibility for supporting FAPT as needed to document the results of FAPT reviews.
- Follow up with case managers from all CSA participating agencies as needed for updated information, corrected forms, etc.
- Maintain the filing system for CSA administrative activities.
- Provide support in policy development and submitting policy to the office of Continuous Quality Improvement for review.
- Assist Administrative Technician with records management.
- Assist the FAPT Coordinator in training contracted staff to assist with supporting FAPT meetings.
- Develop and maintain a tickler system for due dates and reports needed for FAPT and other meetings.
Requirements:
- High school or GED plus one year (1) of experience in fields providing the required knowledge, skills, and abilities, such as clerical or Office Assistant; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
- Type 40 words per minute without spelling, grammatical, or typographical errors; prepare and maintain accurate records and files; accurately route correspondence and messages; and effectively and courteously communicate orally.
- All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
- Ability to maintain paper and/or electronic records and prepare reports from such records.
- Ability to make minor decisions in accordance with laws, ordinances, regulations, and established policies.
- Ability to perform mathematical computations accurately.
- Ability to manage cash transactions in accordance with city policies and procedures may be required in some positions.
- Ability to coordinate work with other departments.
- Ability to perform tasks requiring incumbents to sit or stand for extended periods of time throughout the workday.
- Ability to perform typing assignments and data entry for extended periods throughout the workday.
- Ability to hear at a conversational level.
- Ability to operate standard office equipment and use city standard software applications.
- Ability to comprehend and follow oral and written instructions.
- Ability to effectively communicate with other city employees, customers, and the general public both orally and in writing.
- Ability to maintain an appropriate work pace, focus on routine tasks without distraction and complete assigned tasks within the expected time frame.
