SUMMARY: This position provides moderate to difficult secretarial office support services for an assigned school office. ESSENTIAL DUTIES & RESPONSIBILITIES:Provides secretarial office support for an assigned school office; answers telephones, responds to routine moderately difficult inquiries, and/or directs inquiries to appropriate staff or departmentComposes correspondence, records, reports and memorandumsProcesses, enrolls and withdraws studentsRequests, gathers and processes all student grades, records and filesForwards student files to new schoolAssists parents, students, staff members and visitors with information, directions, registrations, withdrawals, absences, and recordsMaintains and updates logs, rosters, database and hard copy files and recordsCompiles, produces and distributes monthly newslettersCompiles and prepares morning announcements and weekly bulletins; sorts and distributes mail, flyers, and reportsPrepares packets for distribution to new students and their parents or guardiansAssists with student registrationsAssists school nurse; processes lunch applications; may assist school nurseContacts substitute teachersTo arrange for classroom coverage, maintains a variety of logs and records necessary to compile weekly, monthly and quarterly reporting requirementsContacts parents or guardians and verifies student absencesDistributes disciplinary letters KNOWLEDGE, SKILLS & ABILITIES:Knowledge of District rules, regulations, policies and proceduresKnowledge of general office business operations and practicesKnowledge of database files and records managementKnowledge of business English, grammar and composition practices and methodsKnowledge of computer hardware, software and peripheral equipmentKnowledge of customer service methods and techniquesKnowledge of basic bookkeeping and accounting practices and proceduresAbility to speak and read English proficientlySkill in operating a variety of business office, computer software and copying machinesSkill in maintaining, updating, and retrieving database and hard copy files and recordsSkill in preparing reports, spreadsheets, memorandums, newsletters, flyers and correspondenceSkill in maintaining confidentiality of informationSkill in following oral and written instructionsSkill in establishing and maintaining effective working relationships QUALIFICATIONS & REQUIREMENTS:Education & Experience: High School diploma or equivalentTwo (2) years previous office clerical experience (Preferred)Experience with various modern office equipment and systemsCriminal justice/Fingerprint clearanceMaintain requirements for access to Fort HuachucaAny equivalent combination of training, education and experience that meets minimum requirements Computer Proficiency: Demonstrated general proficiency in computer programs such as Microsoft Excel, Word and Outlook.
