Job Responsibilities:
- Digital Filing: Establish and maintain an organized digital filing system, allowing for swift access to essential documents.
- Payments: Track and organize payments, ensuring timely processing and accurate record-keeping.
- Mail: Take the lead in efficiently managing all incoming and outgoing mail and packages, ensuring timely distribution and shipment.
- EOM Reports: Serve as the gatekeeper of End-of-Month (EOM) reports from various departments, compiling and presenting them for the CEO's review.
- Recruitment: Spearhead our recruitment efforts by strategically posting job openings on prominent platforms such as Indeed, LinkedIn, and others.
- Employee Records: Maintain and update employee files and records, ensuring meticulous accuracy and compliance with regulatory standards.
- Travel Arrangements: Exhibit your expertise in calendaring and travel coordination, managing schedules and travel arrangements to optimize efficiency.
- Employee Onboarding and PTO: Administer the diligent tracking of employee onboarding paperwork and Paid Time Off (PTO) requests, ensuring a seamless process. Help Set up IT equipment for new hires.
- Insurance Compliance: Ensure all insurance policies are up to date and liaise with relevant parties for renewals and updates.
- Employee Outings and Events: Plan and organize employee outings on a quarterly basis to foster team engagement.
- Administrative Support: Provide administrative assistance such as scheduling group meetings, maintaining calendars, conducting research, and creating reports.Collaborate with legal team on preparing necessary legal documents, contracts, and agreements as needed.
- Owner Support: Assist with appointments and arrangements for the owner, ensuring their schedule runs smoothly.
- Office Inventory: Order office supplies and snacks.
Qualifications:
- Exceptional organizational skills and an eye for detail.
- Proficiency in digital filing systems and standard office software.
- Effective communication skills, both written and verbal.
- Capacity to navigate complex tasks autonomously and collaborate within a team.
- Familiarity with HR processes and recruitment is an advantage.
We work M-F - option to work 8am-4pm, 8:30am-4:30pm or 9-5pm. Wednesdays and Fridays we have an option to work from home.
Job Type: Full-time
Pay: $20.00 - $23.00 per hour
Expected hours: 40 per week
