Job Overview
The Office Assistant performs a range of general property management activity.
Responsibilities
- Serves as the receptionist for the office; greets and directs visitors and applicants accordingly in a professional manner.
- Answers/transfers phone calls, directs callers to the appropriate party, forwards messages, provides general information, and answers and maintains log of routine inquiries.
- Manages calendars and schedules appointments and meetings; coordinates events.
- Assists with organizing and maintaining office common areas.
- Monitors, orders, and distributes inventory of office supplies.
- Pickup, open sort, and distribute mail, faxes, and bank deliveries.
- Prepares letters, memos, forms, and reports.
- Copies, sorts, and files records related to office activities.
- File and retrieve corporate documents, records, and reports.
- Maintains filing systems manually/electronically.
- Maintains equipment by completing preventive maintenance, troubleshooting failures, calling for repairs, and monitoring equipment operation.
- Support all invoicing and accounts payable. Manage the submission of all line of business bills into Financial Edge system.
Qualifications
- 3 years of administrative experience or related job.
- High school diploma required.
- Proficient in Microsoft Office Suite.
- Excellent organizational, analytical, and time management skills.
- Strong interpersonal and communication (verbal and written) skills; fluency in Spanish preferred.
- Ability to work independently and collaboratively in a fast-paced environment.
Job Type: Full-time
Pay: $38,000.00 - $48,000.00 per year
