Job Description:
As an Office Administrator at Jaquith Consulting Group, Inc., you will be responsible for a wide range of administrative and clerical tasks to ensure the effective and efficient operation of our office. Your responsibilities will include:
Key Responsibilities:
Travel Arrangements: Assist with travel bookings and accommodation arrangements for staff as required. Follow up to gather receipts/necessary forms and ensure all necessary forms are submitted on time. Assist in helping employees fill out related forms as needed.
Administrative Support: Provide administrative support to various departments, including data entry, document preparation, and scheduling meetings.
Office Organization: Maintain office supplies, order new supplies as needed, and keep the office organized and presentable.
Email and Correspondence: Manage incoming and outgoing emails and correspondence, ensuring they are properly sorted and distributed.
Calendar Management: Assist in scheduling appointments, meetings, and events for the team.
Meeting Facilitation/Coordination: Create and provide agenda for relevant meetings as well as take meeting notes/minutes for relevant meetings and send them to relevant stakeholders
Record-keeping: Maintain accurate records, files, and documentation for the office. This would include gathering invoices/bills for applying to transactions, assisting in creating invoices and categorizing transactions in accounting software.
External IT Team Liaison: Act as the bridge between the outsourced IT firm that we hired in terms of assisting with creating tickets, following up on status of tickets, helping to ensure matters are addressed in a timely manner, acting as initial point of contact between them and JCG, and other related duties
Assist with HR: Support the HR department with onboarding and orientation processes.
Other Duties: Perform other office-related tasks/duties as needed to ensure the office and business are running smoothly.
Qualifications:
Bachelor's degree in business or related field or equivalent work experience
Proven experience as an Office Administrator, office assistant, or in a similar role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Proficient and knowledgeable in bookkeeping/payroll
Excellent organizational and multitasking skills.
Excellent reading comprehension and ability to think critically and problem solve.
Proven ability to work independently and a part of a team.
Excellent communication and interpersonal abilities.
Excellent attention to detail and problem-solving skills.
Solution Oriented.
Excellent time management and prioritization skills.
