Primary Role
The Office Administrator (OA) runs the day-to-day operations of the church. As such, the OA serves as the primary interface with church members and guests who visit the church during office hours. The OA also maintains contact information and activity records for church members and others who participate in church programs and ministries. The OA is a liaison within the congregation and between the Crozet Baptist Church and the surrounding community. The OA is responsible to the church through the Ministerial Team.
Primary Responsibilities
Office Management
· Serves as the church’s receptionist
· Provides support to the ministerial staff*
· Orders and stocks office supplies
· Orders general church supplies including program literature, kitchen supplies, and other ministry materials as authorized
· Distributes church publications
· Supervises and trains office assistants and volunteers
· Receives and coordinates benevolence requests*
· Retention and storage of important church documents
Data Management
· Maintains contact information and activity records for church members and others who participate in church programs and ministries
· Creates reports and analysis of this data as requested by staff and other church leaders
· Secures and backs up data regularly
Technology
· Keeps abreast of new office technologies as they become available with the goal of streamlining administrative processes*
· Performs or schedules routine maintenance as needed for office equipment
Manage Church Facilities
· Checks out and in borrowed equipment and furnishings*
· Oversees the maintenance and security operations of church facilities and maintain an inventory of supplies and equipment. Such oversight includes coordination of maintenance for special events and coordinating third party work at the church.
Financial Responsibilities
· Work closely with the church's treasurer, financial secretary, and other staff to ensure the church properly uses funds and meets financial obligations
· Keep records of employee benefits, insurance, and leave time
· Assist in preparation and implementation of the church's budget and financial statements
· Supervise utility and maintenance agreements
· Collection of rent and other funds per lease agreements
Other Responsibilities
· Performs other duties as assigned by the ministerial staff
*Shared duties with the Director of Communications
Position Qualifications
· Excellent knowledge of general business practices and procedures
· Excellent verbal and written communication skills
· Excellent computer skills, with an emphasis in Microsoft Word and databases
· Familiarity with general office equipment
· Strong organizational skills
· Ability to handle confidential information
· Works hard to meet all deadlines
· Demonstrates initiative in performance of duties
· Minimum High School Diploma or GED equivalent
Job Type: Part-time
Expected hours: 20 per week
Schedule:
- 4 hour shift
- Monday to Friday
