We are currently seeking a dedicated and efficient Office Administrator to join our team and play a crucial role in ensuring the smooth day-to-day operations of our contact center.
Responsibilities:
1. Supply Management:
- Collaborate with management to identify and assess supply needs for the contact center.
- Place orders, monitor inventory levels, and ensure timely delivery of office supplies and equipment.
- Maintain accurate records of supply orders and expenses.
2. Vendor Relations:
- Serve as the primary point of contact for vendors, managing relationships and negotiating contracts as needed.
- Coordinate with vendors to ensure timely and accurate deliveries.
- Evaluate vendor performance and recommend changes when necessary.
3. Mail and Deliveries:
- Oversee the processing of incoming and outgoing mail and packages.
- Distribute mail to appropriate recipients and departments.
- Coordinate with courier services for efficient and secure deliveries.
4. Meeting Room Management:
- Schedule and manage the usage of various meeting rooms on the property.
- Ensure meeting rooms are set up with necessary materials and equipment.
- Assist in coordinating and organizing meetings and events as required.
5. Process Implementation:
- Assist in the implementation of new processes and procedures to enhance operational efficiency.
- Collaborate with team members to streamline workflows and optimize productivity.
6. Communication:
- Serve as an efficient communicator within the organization, ensuring information is disseminated accurately and in a timely manner.
- Act as a central point of contact for internal and external inquiries.
7. Guest Visits:
- Prepare for guest visits by coordinating necessary arrangements, including scheduling meetings, providing necessary materials, and ensuring a welcoming environment.
8. Problem Identification and Solution:
- Identify challenges and inefficiencies in current processes and propose creative solutions.
- Work closely with management to implement best practices and policies for continuous improvement.
9. Dependability and Adaptability:
- Demonstrate reliability and consistency in carrying out daily responsibilities.
- Adapt to changing priorities and challenges in a fast-paced work environment.
Qualifications:
- Proven experience as an Office Administrator or in a similar role.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Problem-solving skills and the ability to think critically.
- Creativity in identifying process improvements.
- Dependable and adaptable to changing circumstances.
