OVERVIEW:
iTech AG is actively recruiting for an Office Administrative Assistant to provide office support to iTech AG headquarters in Arlington, VA. This position plays a crucial role in ensuring the smooth operations of iTech AG's corporate office, as well as supporting executive team members with calendar management and expense reports.
This position reports onsite weekly on Mondays, Wednesdays, and Fridays, and on an as-needed basis on Tuesdays and Thursdays.
RESPONSIBILITIES:
- Greet office visitors, answer and direct phone calls, and maintain an orderly office space.
- Receive, sort, and distribute incoming mail, FedEx, and deliveries, as well as prepare outgoing mail and packages for shipment.
- Order office supplies and weekly meals: adhering to established budgets, tracking inventory levels, restocking, and anticipating needs.
- Maintain kitchen cleanliness and organization.
- Ensure office appliances are in working order and stocked with necessary supplies.
- Assist with company procurement for travel, events, moral activities, etc.
- Track monthly expenses. Prepare, and submit expense reports for three executives and purchases made by the Office Administrative Assistant.
- Provide calendar management to three executives.
- Organize swag and other marketing materials for forums, events, and job fairs.
- Manage contracts, payments, and communications for office vendors, maintaining comprehensive and accurate records.
- Provide scanning and filing support to the human resources department, as needed.
- Other duties as assigned.
QUALIFICATIONS:
- A minimum of 1 year experience working as an Administrative Assistant in an office environment providing a high level of customer service.
- Exceptional organizational, time management, and problem-solving skills.
- Ability to multi-task and prioritize work.
- Strong written and verbal communication skills, with the ability to effectively communicate with leaders at the executive level.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to work independently and as part of a team.
- A track record of attention to detail and delivering high-quality results.
EDUCATION AND CERTIFICATIONS:
- A bachelor's degree is required.
