Reynolds is one of the largest community colleges in Virginia and serves Virginia's capital city and five nearby counties. Annually, our four campus sites serve approximately 13,000 credit students and provide training for 7,400 students through the Community College Workforce Alliance. The Administrative Assistant for the Office of Student Life will initiate and track all expenses of purchase orders via eVA, ChromeRiver travel expenses, etc., manage the office small purchase card, and reconcile monthly reports. Engage in ongoing follow up as necessary to resolve budget concerns, to meet financial deadlines, and ensure vendor payments are handled efficiently. Work with vendors, Shared Services, and college officials to gather information, explore options, secure services as approved and ensure processing for timely payment. This position will also provide front desk coverage, receive visitors and respond to questions at Student Life Center and/or Reynolds Gymnasium as assigned. Engage in appropriate timely follow up and provide written and/or oral responses to students and families. Administer check in process to assigned spaces including Student Life Center and/or the Reynolds Gymnasium. Manage and check the Student Life email and voicemail regularly, and respond in a timely manner. The Administrative Assistant will also assist with marketing efforts to include but not limited to compiling the weekly student email, entry of events Reynolds calendar, creating print and digital content, etc. Review and approve flyers for posting, and regularly monitor Student Life bulletin boards at the Parham Road campus. Participate in campus activities and events as assigned by supervisor and assist with other projects assigned by supervisor.
Special Assignments
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
KSA's/Required Qualifications
Considerable knowledge of administrative and office support functions. Ability to communicate effectively in both orally and in writing. Must have strong professional and interpersonal skills demonstrated through interactions in person and on the telephone. Possesses a strong customer-focused and solution-oriented mindset. Ability to work independently on appropriate tasks and well within team settings; and work cooperatively with internal and external stakeholders. Demonstrated independent ability to utilize strong decision-making and organizational skills required to manage office activities; to plan complicated activities and effectively troubleshoot concerns. Considerable skills and proficiency in personal computers and the latest computing tools inclusive of Microsoft Office Suites software (Word, Excel and PowerPoint). Demonstrated ability to develop and maintain spreadsheets, databases and webpages. Ability to learn, grasp and execute new concepts, processes and electronic systems. Ability to work in a fast-paced environment and to manage multiple priorities successfully.
Additional Considerations
Demonstrable skills and proficiency with Canva and/or social media platforms. Demonstrable experience successfully working with multi-generational and diverse populations. Prior event, program, and/or project planning. Demonstrable experience working in a college environment.
