Job Summary: Office Administrator (Remote) at SoSmart
This is a remote job, however we are looking for someone who lives in the Oklahoma City Area. There will be some in person meetings and trainings.
SoSmart, a growing provider of home security, smart home technology, camera systems, networking, and managed network services. We are seeking a dedicated and adaptable Office Administrator to join our team. This is a remote position with occasional in-person meetings and training sessions.
Responsibilities:
- Customer Communication: Engage with customers regularly via phone, email, and online chat to address inquiries, provide assistance, and ensure an exceptional customer experience.
- Employee Scheduling: Develop and maintain schedules for our team of employees, ensuring optimal coverage and efficient allocation of resources.
- Invoicing and Billing: Generate accurate invoices for services rendered to customers and manage billing inquiries and payments promptly and professionally.
- Remote Work Management: Effectively manage administrative tasks and communication channels while working remotely, demonstrating self-motivation and accountability.
- Meeting Participation: Attend weekly meetings both in-person and via Zoom to collaborate with team members, discuss ongoing projects, and contribute ideas for improvement.
- On-Site Training: Participate in on-site training sessions at job sites to gain a comprehensive understanding of the services we provide and enhance your ability to support our customers and employees effectively.
- Documentation and Reporting: Maintain organized records of customer interactions, invoices, employee schedules, and other relevant documents, and provide regular reports to management as needed.
- Bonus: If you are able to take over the companies social media posts, this would be a bonus to the job and would be compensated for.
Requirements:
- Excellent Communication Skills: Strong verbal and written communication skills are essential for interacting with customers, employees, and other stakeholders effectively.
- Organizational Skills: Demonstrated ability to manage multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment.
- Customer Focus: A customer-centric approach with a passion for delivering exceptional service and support.
- Tech-Savvy: Proficiency with computer software for invoicing, scheduling, and communication. Experience with customer management systems is a plus.
- Adaptability: Ability to adapt to changing priorities and responsibilities and thrive in a dynamic and evolving work environment.
- Remote Work Experience: Previous experience working remotely and managing remote teams is a plus.
- Willingness to Learn: Eagerness to learn about our industry and services through on-site training and ongoing professional development opportunities.
