Job Description
We are seeking an Administrative Assistant to join our federal team performing construction, service, and maintenance work at our Camp Humphrey’s, South Korealocation. The successful candidate will provide administrative support to the project manager and the team at a high security facility at Camp Humphrey’s.

Location: USAG Camp Humphreys in Pyeongtek, South Korea. Must be able to live in country and work on-site at this location. Monthly living stipend is provided by the company to support housing, utilities, and other costs while in country.
Shift: Full-time, day shift, Monday - Friday.

As an Administrative Assistant, you will:
- Provides administrative, day-to-day support for the maintenance & service operational teams
- Responsible for tracking and monitoring the contract deliverables with the reporting Project Manager. Escalate issues and coordinate with appropriate individuals (Foreman and/or Project Manager) for timely follow-up as required. May require direct interaction with customers for follow-up to secure purchase orders or to meet special invoicing conditions
- Actively participates in contract activities such as Preventative Maintenance (PM) Schedules, Logs, and Reports, Manpower Tracking Logs, EPA Logs, QA/QC Logs and Reports, Service Order (SO) Tracking Logs, Reports, and Assessments, Warranty Tracking Logs, Filing and Collation of Invoice Documentation, and Consumable Material Tracking Logs for the Project Manager and customers
- Manage a document control system in support of Service Orders, TDP deliverables, QAQC, and PM activities
- Runs query reports, researches and reconciles unaligned costs, such as labor hours, material purchases, expenses, other service related transactions, and any other supporting documents and/or customer and value reporting required by the contract
- Provide support with the subcontract process. Type, mail or track subcontracts for appropriate approval signatures. Secures bids and quotes for materials and subcontracts. Prepares Purchase Order Requests with supporting documentation. Files and supports collection of receipt information with accounts payable
- May prepare and submit service billings in a special invoice format as defined by individual customer account special handling requirements
- Updates and retains customer account information related to special billing conditions, tax status, invoice approval contacts, billing addresses and special billing rates up-to-date
- Coordinates and generates scheduled service visit reports/requests and security badge requests
- Assist with new employee orientation documentation and activities such as safety training or training on administrative processes, as needed
- Maintain office administration services by organizing office clerical operations and procedures.
- Support inventory control process for materials including updating equipment asset transactions
- May be required to participate in QC and safety reporting (in the field and office) and follow JCI PPE Safety requirements while in the field.
- May support special projects and other duties as assigned.
Required Qualifications:
- High school diploma or equivalent
- 3+ years of related work experience with administrative duties, preferably within a service, construction, or technical work environment
- Strong personal computer skills with Microsoft Office Suite (Word, Excel, Powerpoint, Outlook, etc) and general Windows environment
- The ability to perform work independently and demonstrate solid organizational skills and attention to detail
- Strong interpersonal skills, both written and verbal, to effectively communicate with both internal and external team members
- The ability to simultaneously handle a large and diverse number of projects, tasks and issues
- The ability to obtain and maintain a Department of Defense Top Secret/SCI clearance within one year of start of employment required. Active TS/SCI clearance preferred. (This involves a background/character, criminal history, employment, and credit check.)
Preferred Qualifications:
- Experience supporting construction, maintenance, or field service related teams
- Experience supporting service order work
- Experience with projects related to HVAC controls, BAS management and/or Fire management systems.
- Experience working with the U.S. Army Corps of Engineers (USACE) projects.
- Experience working with ordering and tracking of parts.
- Project Management software and financial accounting systems experience.
Preferred Education:
- Associate’s Degree or higher
