The Role:
The Notary Sales Specialist is a new hybrid role responsible for not only identifying new opportunities and building relationships with Real Estate professionals, but also performing high level of customer service by closing transactions with clients as well. This is a proactive position which needs to understand the nuances of the real estate title industry, while also being committed to delivering high quality service to our clients.
Responsibilities:
· Cultivate and maintain relationships with real estate agents, brokers, investors, mortgage lenders, and developers.
· Attend industry events, conferences, seminars to engage with potential clients and stay updated with industry trends.
· Develop and implement targeted marketing strategies to promote title services.
· Provide presentations and demonstrations of the company’s capabilities and offerings to prospective clients.
· Conduct market research to identify new business opportunities and track industry developments.
· Analyze local market to evaluate service prices and strategies to position our company advantageously.
· Work closely with internal teams to ensure client needs are met and to collaborate on service resolution if necessary.
· Gather feedback from clients and the market to continuously improve our services.
· Set and achieve sales targets, ensuring consistency in an ever-changing market.
· Track and report on development activity and opportunities for the company.
· Help create marketing materials for clients and customers.
· Organize, process, and double-check all documentation necessary for the closing of real estate transactions for accuracy and completeness.
· Ensure all required disclosures are made and acknowledged by relevant parties.
· Handle escrow accounts, ensuring funds are properly collected and held for disbursement.
· Review the HUD-1 Settlement Statement or the Closing Disclosure to detail the financial aspects of the transaction.
· Collaborate closely with real estate agents, lenders, attorneys, and title processors.
· Prepare, assemble, and review all necessary documents for the closing, including the deed, affidavits, and mortgage-related documents.
· Ensure all paperwork is compliant with local, state, and federal regulations, addressing any discrepancies before the closing date.
· Address inquiries, questions, or concerns from clients promptly and professionally, ensuring all parties are comfortable and well-informed throughout the closing process.
· Stay aware of local, state, and federal regulations related to real estate transactions.
· Set up and manage E-Closings using the DocVerify platform, ensuring integration with Qualia.
· Guide clients and customers through the electronic closing process, addressing any technical or procedural questions.
· Monitor the electronic signing of documents, ensuring timely completion and adherence to regulations.
· Responsible for reviewing the closing schedule each day and keeping up with schedule changes throughout the day.
· Ensures all documents are correctly signed and notarized.
· Maintain the highest level of customer service throughout the closing experience by offering drinks, activities for kids, copies of documents, etc.
· Ensure all closing documents are returned to the post-closing office in a timely manner.
· Assists the manager with taking inventory of drinks and office supplies at offices.
· Able to disburse checks and deliver when necessary.
Requirements:
· Experienced with standard concepts, practices, and procedures within the escrow/title industry field.
· Work independently and make appropriate decisions.
· Excellent client relations and organizational skills.
· Knowledge of Microsoft Office applications.
· Ability to read and interpret documents.
· Ability to write routine reports and correspondence.
· Ability to calculate figures and amounts such as interest, commissions, proportions, and percentages.
· Detail-oriented and professional; able to handle confidential information.
· Strong communication, both verbal and written.
· Ability to deal with multiple types of roles such as real estate sellers, buyers, agents, and brokers.
Preferred:
· Experienced in Real Estate Title.
· Willing to become a Notary Public at the expense of the company.
· Must be willing to work nights and potentially on the weekends! We are not a traditional title company. We provide service to our customers and are on-call 24/7/365.
