The Columbus Association for the Performing Arts (CAPA) was formed in 1969 to save the historic Ohio Theatre (Columbus) from the wrecking ball. After the theatre was saved, CAPA renovated the magnificent 1928 movie palace to its original glory. It was then that CAPA became the leaders in theatre rehabilitation and downtown redevelopment. Since then, CAPA has adopted Columbus Palace Theatre and Southern Theatre, and manages the Riffe Center Theatres, the Shubert Theatre in New Haven, CT, and the Lincoln Theatre.
One unique aspect of CAPA is its shared service business model, offering personalized back-office services to local arts organizations. While each agreement is tailored to fit each organizations needs, some of these services include marketing, ticketing, management, operations, finance, publicity, human resources, IT, and development. CAPA's shared services partners include: American Public Gardens Association (APGA), the Contemporary Theatre, Columbus Cultural Leadership Consortium (CCLC), the Columbus Symphony Orchestra (CSO), the Drexel Theatre, Franklin Park Conservatory and Botanical Gardens, Leadership Columbus, the Lincoln Theatre, Opera Columbus, the Jeanne B. McCoy Community Center for the Arts and Hinson Amphitheater, the Shubert Theatre, and the Short North Stage.
Since its inception in 1969, CAPA has achieved international recognition for the diversity of the performing arts and entertainment programming it presents, the dramatic restoration of historic theatres, excellence in facility management, and positive contributions to the quality of life in downtown Columbus.
Primary Function
The Venue Sales Specialist assists with handling show responsibilities involving rentals of the Ohio, Palace, Southern, and the Riffe Center Theatres. This includes working with the Programming Manager, VP of Programming and the Venue Sales Assistant on CAPA presents, resident groups, and theatre renters ensuring events happen and details are thoroughly communicated to all staff involved.
Additional Information: This is a full-time, non-exempt position. The selected candidate will be eligible for CAPA benefits offered to full-time employees, including Medical, Dental, and Vision insurance, a $50,000 company-paid life insurance policy, AD&D/STD/LTD, Employee Assistance Program, eligibility to participate in a 403(b) retirement plan with up to 5% company match after 6 months which is immediately vested, subsidized parking at the Columbus Commons Parking Garage and/or a free COTA C-Pass, and access to complimentary tickets to shows.
Duties and Responsibilities
Rentals
- Operates as the main contact person for all outside renters of CAPA managed theatres after shows are confirmed and contracts are signed. Communicates with all renters and provides guidance through the rental process including completing presettlements two weeks before each show.
- Provides renters with all information on contacts at all venues to connect them with the proper personnel to have a successful event.
- Works with the Programming Manager and Venue Sales Assistant to ensure shows are settled and completed after the performance happens.
- Is available for final settlement with renters of the buildings as needed.
- Performs other duties as assigned.
Communication
- Works with the Programming Department to foster effective cross-departmental communication for all rentals throughout the rental process.
- Communicates changes in rental spaces or company policies to appropriate staff.
ArtsVision
- Maintains and updates the ArtsVision scheduling program.
- Inputs documents into the system in coordination with the Venue Sale Assistant, such as riders, contracts, notes and any other pertinent information as it is obtained from renters.
- Oversees invoice information from ArtsVision for Accounting as needed.
- Under the direction of the Programming Manager, implements ongoing ArtsVision training for CAPA staff, internal, and external employees.
- Continues ongoing ArtsVision training sessions with the Programming department to ensure internal ArstVision practices are up to date.
Knowledge, Skills and Abilities
- Excellent verbal and written communication skills.
- Must be organized, accurate, and detail oriented.
- Proficient in Microsoft Office with the ability to quickly learn other software packages used in the position.
Credentials and Experience
- High School Diploma or G.E.D., Undergraduate degree preferred, or equivalent combination of education and work experience.
- 2-3 years prior sales or promotions experience.
- Ability to work a flexible schedule, including occasional nights and weekends.
