This position will perform general or specific administrative assistance to the Division Manager or other senior leader in the Mortgage organization in a multi-functional capacity. Must be able to manage and execute special projects and work on tasks related to larger projects or complete an assigned project. Manage day to day operations in office and support mortgage management staff when needed. Must have a working knowledge of all aspects of mortgage sales and operations. Provide assistance with onboarding, security requests, equipment purchases, expense reports, payment of invoices or other required office duties.
Promote teamwork within the department and other departments.
Collaborate with others in department to accomplish goals and demanding deadlines.
Responsible for data processing, copying, faxing, filing and other duties of a similar nature.
Assist with designated administrative duties that provide confidential secretarial support to Mortgage President, managers and supervisors within the mortgage division.
Enter, retrieve or verify information from a computer processing system.
Assist customers with inquiries and resolution of problems regarding mortgage services and refer to appropriate department or personnel.
Assist in the tracking and ordering of various supplies for a designated branch.
Compose routine correspondence and compile routine reports.
Identify problems and develop procedures to resolve or correct the situation; monitor and measure the results. Provide excellent customer service and solve customer related problems quickly.
Requirements
High School Diploma or GED Certificate, College Degree preferred
Minimum of 2 years' experience in similar capacity with transferable skills
Basic PC knowledge and skills, basic math ability
Proficient in Microsoft Word, Excel, other Microsoft office suite programs, use of the Internet and
ability to learn new systems
Attention to detail and accuracy
Possess solid organizational and time management skills
Ability to work independently and handle multiple priorities under pressure of deadline and time restraints
Desire and ability to train for other various positions within the mortgage division.
