Ministry Function:
The Executive Assistant - CEO/President & Vice President - Donor Relations supports the ministry of Convoy of Hope by providing high-level administrative support to the CEO/President and VP - Donor Relations. The role has responsibility for assuring these individuals receives proactive, thorough and detailed assistance in all assigned responsibilities. This individual must have a heart to serve the President and the organization with excellence and be capable of operating at a high-level of integrity, with initiative and follow-through.
Essential Duties and Responsibilities:
- Demonstrates independent decision-making ability on behalf of the President's office, providing leadership and oversight of assigned projects, assuring deadlines are met and collaborating with appropriate team members.
- Writes and prepares written correspondence at the request and review of the President and support the VP-Donor Relations with communication with select major donors to encourage them to engage more deeply with Convoy of Hope.
- Assures the detailed scheduling and calendaring of meetings for the President and VP-Donor Relations are vetted, reviewed and approved with the President.
- Assists in assuring that the President and VP-Donor Relations receives information and resources necessary for meetings, videos, podcasts, interviews, etc. in a timely fashion that allows for preparation for those calendar events.
- Prepares necessary electronic and print materials for speaking engagements and allows for time to review, edit, and approve final versions prior to engagement dates.
- Consistently models a friendly, professional attitude of service to all those who interact with the President and represents the Office of the President utilizing the Guest of Honor principles of the organization.
- At all times communicates, both verbally and in writing, in a manner consistent with Convoy of Hope's Core Values and in a way that represents the President positively.
- Assists the Office of the President with strategic decision-making, communications, and assuring they can obtain necessary resources or information in a timely fashion.
- Ensures information shared is vetted and properly accounted for to the working groups in the portfolio of the Office of the President.
- Manage, update and finalize reports, stats and calendar for the Office of the President.
- Coordinate trips and travel arrangements for the Office of the President, to include events and trips for the VP-Donor Relations.
- Assist with coordination of budget expense reporting.
- Provide administrative assistance to Special Advisors and Contractors that report to the OOTP as requested.
- Provide administrative support to the Office of the President relating to daily activity and workflow as needed.
- Oversee the scheduling and calendar of the plane following trip approval by the OOTP.
- All other duties as assigned.
Required Knowledge, Skills, and Abilities:
- Bachelor's degree preferred; High School diploma or equivalent required.
- 5+ years office management experience required.
- 5+ years experience in compassion ministry preferred.
- Proficient in use of Mac/PC software programs, including but not limited to G-mail, Microsoft Word, PowerPoint and Excel.
- Excellent verbal and written communication skills for conveying the program work of COH within the organization, partners, and target audience.
- Strong organizational skills and ability to handle concurrent, multiple job tasks.
- Excellent interpersonal communication and relational skills.
- Serve as an advocate for the ministry, striving to nurture, broaden and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Ability to positively represent the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that each staff member embraces the organization's religious purposes for which it exists and not only agrees with its Statement of Faith but demonstrates it in their lives on an ongoing basis.
Supervisory Responsibilities:
This position may have direct supervisory responsibilities of staff or volunteers as assigned.
