Mental Health Office Coordinator

Job Overview:
We are seeking a Mental Health Office Coordinator to join our team. As the Office Coordinator, you will be responsible for overseeing the day-to-day operations of our office and ensuring its smooth functioning. This position requires strong organizational skills, attention to detail, and the ability to multitask effectively. The ideal candidate will have experience in office functioning, insurance billing, and excellent communication skills.

The Office Coordinator greets patients when they enter the clinic and takes their information, including contact details and insurance information. This position ascertains the patients’ needs, schedules appointments, and answers the telephone. This position performs office duties and ensures that the office runs smoothly. These duties include transcribing patient records and letters, keeping accounts, billing patients, filing claims with insurance companies, schedules appointments, and performs patient billing activities.

Duties:

-Submit and follow up on insurance billing and claims
- Coordinate office operations, including maintaining office supplies, equipment, and facilities
- Engage in administrative tasks such as answering phones, scheduling appointments for all therapists, and handling correspondence
- Develop and manage budgets for office expenses
- Plan and coordinate business meetings

- Resolve client inquires and concerns
-Ensure regulatory compliance with HIPPA laws

- Maintain a clean and organized office environment

Qualifications:
-Proficient with billing insurance and making insurance inquiries

- Proven experience in office coordination or a similar role

- Strong communication skills, both written and verbal
- Excellent organizational skills with the ability to prioritize tasks effectively
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- High level of professionalism and discretion when handling confidential information
