Job Description: Medical Secretary
- To assist the Medical Staff Coordinator, Medical Director, and Vice President, Medical Administration in gathering, coordinating, and distributing data, minutes and correspondence and other duties pertaining to the functioning of the Medical Staff.
- Responsible for coordinating and providing staff support for specified Medical Staff functions.
- For the Committees and Department Meetings of: - Department of Medicine (Perth Amboy Division) - Department of Medicine (Old Bridge Division - Department of Medicine (Quality Assurance Committee) - Graduate Medical Education
- The following responsibilities apply for the: - Physical Diagnosis Course - Physician Assistant Program - Internal Medicine Residency: support to program functions managed by the Assistant Director of the Residency Program; secretarial duties for that Assistant Director in his/her various roles.
- Assures meeting room assignments and reservations; provides members with two weeks written notice of date/time/place of scheduled meeting.
- Prepares agenda.
- Attends meetings, if requested; produces accurate minutes of meeting within one week after receipt of draft.
- Submits minutes for necessary approvals and routes as appropriate.
- Types related correspondence as received within two weeks of receipt.
- Follows up on action items from the meetings.
- For all meetings under assigned responsibility, generates and maintains a current attendance record for all medical staff meetings.
- Produces on-call schedules for Department of Medicine and its divisions; types, distributes and communicates changes as received.
- Maintains current listing of assigned physician mailboxes and distributes accordingly.
- Performs secretarial functions to support the activities of the Medical Staff. Receives incoming telephone calls, records accurate messages, places outgoing calls.
- Retrieves and delivers Medical Affairs mail to/from mailroom, on shared basis with other secretarial staff.
- Coordinates duplication, collation, distribution, filing of materials on a regular basis; initiates, completes, documents requisitions for office supplies and requests for equipment.
- Performs other assignments as directed by the Medical Staff Coordinator, the Medical Director, or the Vice President, Medical Administration.
- Provides back-up support to other secretaries in the Medical Affairs Division as assigned.
- Performs other miscellaneous or special assignments as required.
Post High School course in medical terminology and secretarial skills preferred.
Knowledge and Skills (Preferred): Secretarial science education or comparable experience preferred.
Knowledge, Skills, Abilities:
Four years secretarial experience or equivalent employment experience or education.
Must be proficient in PC office software.
Health/hospital experience preferred.
Schedule Notes: 8:00 AM - 5:00 PM Monday - Friday 5x 8 hr shifts - Contract Position
- No weekends
- No holidays
- No on-calls
- Float - based on needs
