JOB DEFINITION:
Responsible for assisting prescribing staff in the division with managing their caseload, schedule and required documentation. Assists prescribing staff with ensuring their caseload is accurate and up to date, that clients are seen within the required time frames, that documentation including notes and medical records are kept up to date, accurate and thorough and that documentation needed is obtained and available.
EDUCATION REQUIREMENTS:Minimum high school diploma or equivalent, college degree preferred
REQUIRED EXPEREINCE AND QUALIFICATIONS:
Must have at least one-year experience in a professional office setting; experience in a psychiatric or medical clinic preferred. Must have excellent verbal and written communication, along with superior organizational skills, ability to multi-task and remain focused despite frequent interruption. Working knowledge of electronic health records and centralized scheduled technology preferred. Experience with Microsoft programs, including Excel, Word and Outlook required. Must be able to communicate effectively with staff, clients, family and outside agencies.
DUTIES AND RESPONSIBILITIES:
- Ensure caseload is accurate and up to date in electronic health record monthly
- Schedule and track clinical appointments based on client need and in accordance with CCBHC and Article 31 regulations
- Notifying/reminding clients of scheduled appointments
- Communicating schedule changes and adjustments with all necessary parties
- Checking clinical notes daily to ensure they are completed
- Coordinating with MA and RN's for clinical needs of clients including medications, prior authorizations and records
- Contacting outside entities as requested by clinical staff to coordinate care for clients
- Ensure all clinical documentation is completed including but not limited to, notes, psychiatric evaluations, treatment plans and vitals
- Participate in meetings and working collaboratively with the multi-disciplinary team to meet the clinical needs of the clients and program
- Maintaining professional customer service focus in all interactions with internal and external contacts
- Assuming clerical responsibility on an as-needed basis, including answering the phone and documentation in the electronic health record
- Identify and implement quality improvement trainings and activities as part of professional development goals
- Complete QI Training during onboarding and participate in QI refresher training as needed.
