Job Title: Medical Scheduler
Department: Administrative
Job Duties:
- Schedule EEG appointments for patients, including routine and specialized EEG tests.
- Maintain a detailed and organized schedule, optimizing appointment slots for EEG tests.
- Continuously monitor and adjust schedules to accommodate urgent cases, emergencies, and last-minute changes.
- Handle appointment cancellations and rescheduling requests while optimizing scheduling efficiency.
- Act as the primary point of contact for patients, answering their inquiries, providing information about the scheduling process, and ensuring the highest level of customer service.
- Confirm scheduled appointments and send reminders to patients through various communication channels.
- Answer phone calls and respond to patient inquiries or direct them to the appropriate staff member.
- Verify and update patient information, including contact details, insurance coverage, and demographic data, during the scheduling process.
- Gather and enter patient information into the electronic health records (EHR) system for new patients, ensuring accuracy and completeness of data.
- Maintain accurate patient records and verify patient information, including contact details, insurance, and medical history.
- Collaborate with the EEG technologists and clinical team to ensure smooth patient flow and timely test completion.
- Adhere to patient privacy regulations, such as HIPAA, when handling patient records and scheduling information.
- Perform other duties as assigned.
Qualifications:
- High school diploma or equivalent
- A proven track record in medical logistics and supply chain management (Strongly Preferred)
- Strong attention to detail, organizational skills, and the ability to maintain scheduling accuracy.
- Excellent communication and interpersonal skills to interact with patients and the ability to collaborate effectively with a team.
- Ability to work effectively and efficiently with minimal direct supervision.
- Ability to handle multiple tasks simultaneously and work in a fast-paced healthcare environment.
- Knowledge of medical terminology and healthcare office procedures.
- Understanding of healthcare compliance and patient privacy regulations, particularly HIPAA.
- Compassion, empathy, and a commitment to providing exceptional patient care.
- Prior experience in medical scheduling or healthcare administration is a plus.
