Job Description:

As a Home Visit Scheduler, you will be responsible for efficiently mapping out and scheduling multiple Providers to conduct Home Visits on a daily basis. Your role will be crucial in ensuring timely and effective delivery of services to our Patients. You will collaborate closely with the Provider team, as well as coordinate with clients to arrange suitable visit times. Attention to detail, strong organizational skills, and effective communication are essential for success in this role.

Responsibilities:

• Efficiently schedule and coordinate Home Visits for multiple Providers based on geographical locations and availability.
• Utilize mapping tools and scheduling software to optimize routes and minimize travel time between visits.
• Communicate with Providers to confirm visit schedules and provide necessary information regarding client needs and visit requirements.
• Liaise with clients to arrange suitable visit times and address any scheduling conflicts or special requests.
• Monitor and adjust schedules as needed to accommodate last-minute changes, emergencies, or cancellations.
• Maintain accurate records of visit schedules, client preferences, and Provider availability.
• Collaborate with the dispatch team to ensure seamless coordination between scheduling and on-the-road operations.
• Continuously evaluate and streamline scheduling processes to improve efficiency and productivity.
• Provide support to Providers and clients as needed to ensure smooth execution of Home Visits.
• Adhere to company policies and procedures, as well as relevant privacy and confidentiality guidelines.

Requirements:

• Proven experience in scheduling or logistics coordination, preferably in a healthcare or service-oriented setting.
• Proficiency in using mapping tools, scheduling software, and Microsoft Office applications.
• Strong organizational skills with the ability to prioritize tasks and manage time effectively.
• Excellent communication and interpersonal skills, with the ability to interact professionally with Providers, clients, and internal teams.
• Attention to detail and accuracy in maintaining records and schedules.
• Adaptability and resilience in managing changing priorities and unexpected situations.
• Knowledge of geographic areas and routes is a plus.
• High school diploma or equivalent; additional qualifications in logistics, administration, or a related field are preferred.

Responsibilities:

- Handle incoming calls and inquiries related to scheduling

- Collaborate with other team members to optimize scheduling processes and improve efficiency

Skills:
- Proficiency in using scheduling software such as Dentrix, Eaglesoft, Epic, or similar systems
- Experience working as a dental receptionist, medical receptionist, or in a similar role involving appointment scheduling
- Familiarity with phone systems and front desk operations
- Knowledge of medical terminology and medical records management is a plus
- Strong attention to detail and organizational skills
- Excellent communication and interpersonal abilities

Pay: $17.57 - $21.15 per hour

Expected hours: 40 per week
