Job Description: ADMINISTRATIVE ASSISTANT/RECEPTIONIST/APPOINTMENT SCHEDULER POSITION:
RESPONSIBLE TO: Practice Administrator- This opening is in our Physical Therapy department.
JOB SUMMARY: Responsible for scheduling appointments, answering the telephone, registering patients, collecting copays, updating patient demographic as well as insurance coverage, and verify physical therapy coverage and referrals in effect. Communicate with workers’ compensation, referring providers and attorney correspondence.
EDUCATIONAL REQUIREMENTS: High school diploma required
QUALIFICATIONS AND EXPERIENCE: Minimum two years experience working in a health care practice setting, preferably a physical therapy office. Comfortable using email/internet applications with working knowledge of practice management software MS Word and Excel. Ability to work with patients and make them feel comfortable while performing multiple and diverse tasks simultaneously. Looking for a candidate with strong written and verbal communications skills, who is reliable and highly motivated. Must be detail oriented. Knowledge of medical terminology preferred. Office dress code is business casual, a neat and professional appearance is required.
RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING: Greet patients upon check in, collecting copays or outstanding balances. Scheduling patient appointments using practice management software . Obtaining the necessary referrals and authorizations for Physical Therapy, entering demographic and insurance information. Reviews weekly reports for patients missing appointments, and calling them to schedule as well as scheduling follow up patient appointments as requested. Answering phone calls and responding to patient messages in a timely fashion. Printing appointment schedule at end of day and attaching all encounter forms for the day. Re file and/or scanning reports/medical records. Candidate must maintain patient confidentiality; adhering to HIPAA and compliance guidelines established by the practice.
SUPERVISORY RESPONSIBILITIES: This position currently has no supervisory responsibilities.
TYPICAL PHYSICAL DEMANDS: Work may require sitting for prolonged periods of time, and also stooping, bending, and stretching for supplies. Employee may occasionally be asked to lift up to 30 pounds. Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary. Vision must be correct to 20/20 and hearing must be in the normal range for telephone contacts. Position also requires viewing computer screens and typing for prolonged periods of time, and working in an environment which can be stressful.
TYPICAL WORKING CONDITIONS: Majority of work is performed in a reception area and involves frequent interaction with patients. Work may be stressful at times. The employee must be comfortable asking patients for money.

Pay: $19.00 - $22.00 per hour
