Position Overview :
This person is responsible for ensuring the timely greeting of all patients that arrive in the office. Responsibilities also include ensuring timely input and accuracy of all demographic and *insurance information in computer system.
This is a Monday thru Friday position, full-time position.
Duties and Responsibilities:
- Greet (if on phone call, acknowledge patient non-verbally) all patients as they present at the front desk check-in window.
- Retrieve and return messages left in voicemail boxes periodically throughout the day. At a minimum all messages will be addressed prior to lunch and prior to 5:00 pm. (as needed)
- Answer incoming phone calls promptly and courteously. (as available)
- Schedule appointments. (as available)
- Print Medicaid eligibility for patients with scheduled appointments.
- Have all new patients complete the patient information sheet, insurance authorization sheet, medical information sheet and required HIPPA forms.
- Collect cash/check/credit card co pays upon check in.
- (Established Patients) - Review/confirm accuracy of all information (demographic and insurance coverage) and make necessary changes.
- Scans insurance cards into computer system as needed.
- Enter patient information (demographic and insurance) into the computer system.
- Notify nurse of patient arrival in EHR.
- Inform patients in reception room of unexpected delays by physician. Give them the option to reschedule.
- Monitor the reception room for tidiness. Magazines should be straightened and off floor, chairs, etc. Magazines should be purged monthly. Notify Assistant Administrator or Administrator of any cleaning needs or problems.
- Keep desk, work area and break room neat, clean and orderly. (Food/drink on desk should be out of visible sight of patients.)
- Upon daily departure, ensure office equipment is turned off, phones switched to “night mode”.
- Send “No Show” patient letters as needed.
- Print provider appointment schedules and encounter forms to be used for check-in.
- Collecting payments on account and pre-surgical payments.
- Verify HMO insurance holders have referral in place for office visit or obtain from PCP
- Other duties as assigned by Administrator or Physicians.
Minimum Job Requirements:
- Bilingual in Spanish preferred
- High School Diploma or equivalency
- Ability to communicate effectively, both in writing and verbally
- Maintain basic knowledge of CPT codes, ICD-10 codes and other reimbursement issues.
- Have adequate knowledge of surgical procedures and related diagnoses
- Have knowledge of general medical terminology
Working Conditions and Physical Requirements:
- Work is normally performed in a typical interior office work environment
- Very limited physical effort required
- No or very limited exposure to physical risk/exertion
