Office Description: Direct Primary Care office providing full scope primary care for patients of all ages and genders. Office performs front desk duties. Check in/out patients, greets patients in friendly/professional manner, completes payment processing for per diem services with medical aesthetic services.

Job Summary: Communicates with patients, other employees and the general public in a courteous, helpful manner by phone and in person. In addition to medical assisting, provides administrative tasks as needed, including but are not limited to greeting, check-in, and scheduling.
Essential Responsibilities:
- 1. Check In/Check Out patients
- Greets patients in friendly and professional manner
- Checks in patients according to office policy and procedure manual
- Ensures all patient invoices are paid uptodate
- Charges patients for aesthetic procedures upon checkout
- Ensures all patients have follow-up appointments
- Encourages patients to leave google/yelp/facebook/realself reviews and sends SMS messages hyperlinks to patients
2. Maintains Medical Records
- Works closely with administrative team to obtain patient’s medical records from outside medical records, reviews incoming faxes of medical records and assists physician with reviewing records
- Assists patients with filling out record release forms, tracks forms to ensure records are obtained
- Assist with data entry of medical records into EHR, updating patient tags and patient profile
2. Meets agency participatory expectations
· Adheres to all agency and departmental policies and procedures
· Participates in quality assessment and improvement activities as requested
· Adheres to the highest principles of patient and client confidentiality
· Adheres to established safety policies, procedures and precautions; identifies potential or actual unsafe situations in the environment and takes measures to rectify the situation
· Attends all required meetings, in-services and professional trainings
· Maintains professional competence necessary to perform job responsibilities; maintains and provides agency with records of continuing education activities
· Serves on agency committees and in professional organizations when requested
3. Monitors Office Supplies
· Tracks utilization of office and medical supplies and assists with restocking clinical rooms
4. Office Up keep
· Assists administrative staff with general up keep of office ensuring a clean and safe environment for patients and staff
· Unlock the front office door, exam rooms and labs upon arrive of office for the day
· Turn on all computers for staff upon arrive of office for the day
· Review incoming patient portal messages, emails, Spruce messages and direct them to the appropriate staff member. Turns off auto-message responder in Spruce system
· Makes coffee in staff room if not already done
· Assists teammates with laundry of linens
· Clean Office upon arriving:
i. Wipe down all counter surfaces
ii. Sweep/Swifter Floors
· Clean Reception/Waiting Area at end of office day:
i. Countertops wiped down
ii. If shredder is nearly full empty into trash
iii. All papers are stored in appropriate file system
iv. All electronics are turned off and properly stored
v. Lights turned off, ensure door locked
· Tracks utilization of office supplies and assists with ordering and restocking
Required Qualifications:
1-2 years related work experience front desk
Experience as medical assistant preferred.
Basic familiarity with computers.
Language Qualifications:
Fluency in English Language, fluency in Brazilian Portuguese preferred
