Job description

SUMMARY: The McGregor Clinic is looking for a Front Desk Medical Receptionist. This position is inclusive of check-in, check-out, case management reception. This position serves patients by greeting and helping patients; scheduling appointments; maintaining records and accounts. This position works closely with the Billing Department to assure insurance information accuracy for proper claim submission.

SUPERVISION RECEIVED: Reports to Director of Patient Financial Services

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Include the following (other duties may be assigned):

  • Welcomes and greets patients and visitors, in person or on the telephone, answering or referring inquiries.
  • Optimizes patient satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Communicates any appointment delays to patients.
  • Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining the reception area.
  • Maintains and sanitizes the waiting room and reception area daily.
  • Ensures availability of treatment information by filing and retrieving patient records timely and accurately.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information timely and accurately.
  • Works closely with the Billing Department to assure accurate insurance information is obtained for proper medical claim billing.
  • Assures clinic flow by assisting patients in utilizing patient check-in software and communicating patient arrival to appropriate staff.
  • Obtains revenue by collecting patient current charges and any past outstanding account balances. Accurately enters the payment received.
  • Responsible for navigating a multi-line phone system. Accepting and routing incoming phone calls from patients, referring physician offices, and vendors as necessary.
  • Completes patient reminder calls and reschedules appointments as needed.
  • Maintains communication between departments utilizing the medical tasking system within the EMR.
  • Ability to accurately schedule patient follow-up appointments as requested by the medical provider.
  • Receives and processes mail deliveries, assuring packages are routed to the appropriate personnel.
  • Handle incoming/outgoing documents; date stamp, track and distribute.
  • Responsible for day-to-day filing or scanning of all patient information.
  • Provide clerical support and assistance in a wide variety of administrative areas which may be confidential in nature, to include thinning charts for case management.
  • Communicates supplies needed so that stock may be replenished.
  • Notifies the IT department to schedule equipment service and repairs, as needed.
  • Ensures visitors sign in and communicates confidentiality rules to all visitors. Contacts appropriate staff to escort visitors accordingly.
  • Refer to resources as needed, or prescribed, to address problems presented while answering patient calls.
  • Helps patients in distress by responding to emergencies and notifying the appropriate staff.
  • Protects patients' rights by maintaining confidentiality of personal and financial information.
  • Utilization of correct spelling, punctuation, and grammar, while communicating effectively both verbally and in writing.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Contributes to team effort by accomplishing related results as needed.
  • Multi-task and adapt to change while always being a team player.

SKILLS/EXPERIENCE:

  • Fluent in English and Spanish or Haitian Creole preferred but not required.
  • Knowledge of HIPAA Rules and Regulations.
  • Knowledge of computer programs (Microsoft Office, Windows10, Practice Management Software).
  • Knowledge of medical office procedures.
  • Time management skills for maintaining the focus of office staff and keeping pace with daily tasks
  • Ability to operate a computer and basic office equipment.
  • Ability to operate a multi-line telephone system.
  • Skill in answering a telephone in a pleasant and helpful manner.
  • Ability to read, understand and follow oral and written instructions.
  • Ability to establish and maintain effective working relationships with patients, employees, and the public.
  • Multitasking to balance responsibilities between visitor needs and office availability
  • Must be well organized and detail oriented.
  • Must have the ability to problem-solve and process-through issues and situations.
  • Knowledge of location community resources, as well as other state and federal programs.
  • Ability to work as a team.
  • Must be able to work in a fast-paced environment.

EDUCATION: High School Diploma or GED Required.

ENVIRONMENTAL WORKING CONDITIONS: Normal office environment. Occasional overtime may be required and/or hours may be shortened as business needs dictate.

PHYSICAL DEMANDS: Requires sitting and standing associated with a normal office environment. Manual dexterity needed for using a calculator and computer keyboard. Ability to lift up to 10 lbs.
