Overview:
We are seeking a skilled and organized Medical Receptionist to join our team.
This is an ENT clinic located in the Montrose area; this position will be in our Audiology department.
As a Medical Receptionist, you will be responsible for providing exceptional patient service and administrative support in a medical office setting.
Duties:
-Answer phone calls and either help the patient or direct the call to the appropriate person.
-Retrieve phone messages and prioritize return phone calls.
-Greet and assist/direct patients who come to the practice.
-Have patients fill out and/or sign appropriate forms for that day’s testing. Alert audiologists when patients are waiting.
-Record patients tested that day on the log, scan in results.
-Call to schedule appointments for hearing aid fittings, checks and pick-ups. Schedule appointments for patients that are in the office that day.
-Confirm hearing aid-related appointments for the next day after verifying that any hearing aid, earmold or accessory that should be in for that appointment is ready.
-Print out appointment sheets for each patient and get them set up for the next day. Pull all forms needed including previous audios and hearing aid contracts.
-Take payments from patients for new aids, repairs, or other services.
-Help with any marketing needs as they come up.
Hearing Aid-Specific Duties:
-Open packages that have been sent from the manufacturers.
-Enter new and repaired hearing aid information into HearForm.
-Make note of any changes in serial numbers. For replacement aids, do the same.
-Label patient name on package and after all pertinent information is entered into HearForm, put the package in the lab along with appropriate paperwork for the audiologists to check.
-Help pack up any new orders or returns for the manufacturers and put them in the appropriate mailing envelope. Notate name and what was sent in calendar book.
Bookkeeping functions:
-Keep track of invoices from manufacturers and other vendors, verifying that the items on the invoices have been received.
-Scan invoices into HearForm.
-When statements are received, check that the statements match the invoices received.
-When statements and invoices are reconciled, send the statement to the appropriate person for payment.
-Keep track of when statements are paid.
-Keep track of hearing aids returned for credit and match the credit invoice with each.
Qualifications:
- High school diploma or equivalent required; additional education in medical administration is a plus
- Proven experience as a Medical Receptionist or in a similar administrative role
- Knowledge of medical terminology and procedures
- Proficient in using phone systems and other office equipment
- Familiarity with electronic medical record (EMR) systems
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication and interpersonal skills
