MARKETING PRODUCTION COORDINATOR

JOB TITLE: Marketing Production Coordinator

WORK AREA: Corporate on site, not a remote position

DEPARTMENT: Marketing

REPORTS TO: Director of Marketing

JOB CLASSIFICATION: Salary, Exempt

JOB SUMMARY:
The Marketing Production Coordinator will work with the marketing team members to ensure that projects follow brand guidelines and are on budget and completed in a timely manner. This role is highly organized, possesses the ability to manage many projects and deadlines at once and must have a get it done attitude. This role leads the production process and systems, manages calendars and tasks, and works to improve marketing performance and develop and maintain effective operational workflows.

JOB RESPONSIBILITIES:

  • Maintains and manages the operational production framework for producing marketing campaigns effectively and efficiently, on time and on budget.
  • Develops internal Marketing Production personnel’s jobs, processes, quality controls, workflows, and provides qualitative reporting and analysis.
  • Collaborates with the teams to develop traditional and digital marketing plans and develops, manages and maintains optimal Marketing Production and campaign approval systems that promote accountability, effectiveness, efficiency, alignment, agility and scalability.
  • In conjunction with Director of Marketing, responsible for evaluating the effectiveness of marketing programs and creation of assets within desired timelines and providing measurable results.
  • Reviews, tracks, inputs, and monitors all expenditures by marketing and creative staff for all budgets.
  • Works with vendors on estimates, billing, production, and mailings.
  • Collaborates with Director of Marketing and Graphic Designer to manage and position the brand with a keen focus on consistent integration, voice, tone and vision within all marketing outputs.
  • Coordinates production and execution of photo and video shoots with Director of Marketing.
  • Oversees fulfillment and touch points for marketing CRM program and ensures materials are inputted into database systems for use.
  • Manages all campaign tracking and set up in database systems and ensures all production jobs include correct tracking. Tests all prior to distribution.
  • Oversee marketing calendar on scheduling, prioritization and production.
  • Manages inventory document including various venues and warehouses and works with sales teams to ensure they maintain inventory onsite. Polices sales teams and clubs use of materials and copy to ensure all stays on brand.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Manages all assets on marketing server, Google docs and photo libraries (with assistance from the Graphic Designer) are in an orderly way per the process documents. Trains team on usage and organization.
  • Provides executive support including but not limited to preparing presentations and special projects, administrative duties, HR processing and staff management needs.

BACKGROUND/EXPERIENCE:

  • College Degree in marketing, business, systems or other related field required.
  • Attention to detail and time management skills.
  • Excellent communication skills (oral and written).
  • Excellent grammatical, spelling and proofreading skills.
  • Proficiency in Microsoft Office Suite and GSuite. Experience in project management tool a plus.
  • Ability to organize, prioritize, meet deadlines, manage multiple projects in time sensitive environment, and maintain collaborative professional relationships.
  • Strong technical skills and mindset to leverage database and workflow drive software.
  • Ability to work in fast-paced environment.

PHYSICAL REQUIREMENTS:

  • Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, stamina to maintain attention to detail
  • Strength to lift and carry files weighing up to 20 pounds
  • Vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.
  • Must be able to work in an office setting, not a remote position.
